Infuse Hines methods and standards with Amazon's to establish consistency across Global Real Estate & Facilities (GREF). Maximize value of facilities operations through focus on life cycle extension, quality assurance, cost control & savings, while delivering a high level of service from all vendor and management partners.

Job Overview / Summary Description

Reporting to the Assistant Events Manager, the Program Coordinator works closely with internal vendors and key stakeholders to facilitate and support local Amazon events taking place in key buildings within Amazon corporate offices.

Amazon is a fast paced, demanding corporate environment and Hines is here to provide professional, service excellence. The Events Administrator reports to the regional Assistant Events Manager and responds to customer requests and inquiries to ensure on-site events are executed smoothly and professionally.

Responsible for the coordination of resources to ensure spaces are cleaned, set and ready for events. Committed to event related projects such as documenting trends, recognizing opportunities for process efficiencies, and improving policies and procedures related to internal events and spaces.

Primary Duties / Essential Job Functions

  • Schedules, maintains and updates calendar appointments to improve time management and coordination/communication with vendor partners supporting the event spaces
  • Reviews, updates, schedules and approves event requests received from Amazon event planners
  • Provides initial response and support related to Amazon event inquiries
  • Assigns events to Event Coordinators as appropriate
  • Daily coordination and organization of events
  • Creates and updates documents to track metrics, clarify procedures, provide information, organize team tasks, and others as needs arise
  • Provides periodic day of support to Event Coordinators to assist with successful event operations
  • Processes work orders and event related trouble tickets
  • Supports and maintains good inter-vendor communications between Facilities, Catering, AV, Reception, Janitorial and Engineering as requested
  • General office duties and support of events team as assigned by supervisors

Experience / Skills

Essential Knowledge and Skills:

  • Ability and attentiveness to multi-task
  • Interact with employees, visitors and contractors with poise and diplomacy
  • Apply principles of rational systems and deal with a variety of concrete variables in situations where only limited standardization exists
  • Interpret instructions in written, oral, diagrammatic or schedule form
  • Possess initiative to assume additional responsibilities
  • Set priorities and meet deadlines
  • Advanced competence with a variety of software including MS Word, MS Excel, MS Outlook, and other requested software programs
  • Perform basic business math such as compute discount, interest, percentage and profit/loss
  • Communicate effectively both verbally and written
  • Possess excellent grammar and proofreading abilities
  • The ideal candidate will have excitement for helping to build and maintain event support in this location


Experience

  • 2+ years' experience in event coordination or event administrative support
  • 2+ years' experience in facilities management is a plus
  • Must be proficient with Microsoft Office
  • Microsoft Visio or CAD experience preferred
  • High level of accuracy and attention to details
  • Positive, professional, customer-service oriented personality
  • Excellent interpersonal and communication skills
  • Ability to work independently, at times, with little direction


Education

  • Bachelor's Degree or equivalent 4 years of experience preferred
