Job Description

  • Coordinate day to day operations with Head of Professional Services for assigned client projects 

  • Serve as interface between team members and Head of Professional Services

  • Organize, coordinate and create project schedules, resources, equipment and information

  • Liaising with clients to identify and define project requirements, scope and objectives 

  • Ensure Professional Clients’ needs are met as project evolves 

  • Prepare comprehensive action plans including timeframes and budgets for projects 

  • Perform various coordinating tasks like schedule and risk management, along with administrative duties like maintaining project documents, email correspondence, handling day to day inquiries from client and internal team members 

  • Ensure all Professional Services projects are delivered on time, within budget and meet high quality standards 

  • Assign tasks to internal teams and assist with schedule management 

  • Analyze risk and opportunity and proactively work with Head of Professional Services to escalate when needed 

  • Organize and communicate details related to specific tasks and projects 

  • Act as primary point of contact and communicate project status to all participants 

  • Create and maintain comprehensive project documentation, plans and reports

  • Ensure all standards and requirements are met through conducting quality assurance tests 

  • Assist clients and Head of Professional Service in setting up and onboarding clients

  • Deliver excellent quality customer service to Professional Service customers 

  • Assist in creation of assets and materials, templates, project management and managing projects and engagements through execution for Professional Services clients

  • Responsible in assisting Head of Professional Services to deliver best in class services in the boutique fitness industry to help customers and company accelerate growth of business

  • Support in building and scaling organization in a fast-moving, customer-centric, and solutions-oriented company to enable success quickly and effectively 

  • Ability to multi-task and support Head of Professional Services to deliver a best-in-class customer experience

  • Lead in coordinating and implementing to deliver of professional services to Xplor customers 

  • Take ownership to ensure customer satisfaction and on-time completion of projects

  • Deliver consistent, outstanding quality work

  • Coordinate and assist in development and implementation of solution offerings to provide additional value to customers

Qualifications

  • Ability to move swiftly and efficiently in a fast-paced remote environment 

  • Resourceful and a go-getter attitude 

  • Excellent time management and communication skills working with people across multiple time zones 

  • Solid organizational skills

  • Strong client-facing and teamwork skills 

  • Familiarity with risk management and quality assurance control 

  • Strong knowledge of Microsoft Office 365, Canva, Slack, Zapier, etc 

  • Hands on experience with project management tools (ie. Asana, Microsoft Project, etc) 

  • Collaborative in nature with clients and internal teams to deliver results and on deadline 

  • Customer-centric approach and willingness to learn 

  • Ability to support Head of Professional Services in a remote setting 

  • Highly ethical, ability to demonstrate empathy, humility, motivation and listening skills 

  • Passion for fitness, health, and wellness, our vision at Xplor, and the customer problems we are solving 

  • Bachelor's Degree or equivalent work experience 

  • 1+ years of experience working in project management, consulting, professional services, or related function
