Operations Administrator / PM Sr. Associate Summary:

Job Summary:

You have the unique opportunity to join our RSM team in an operational leadership support role that will enable you to utilize your strong project management, communication, administrative and technical skills. Working directly with our Florida Assurance Leader, who is also our Jacksonville Office Managing Partner, you will play a highly visible role in supporting key assurance line of business activities and initiatives of our nine Florida offices. We are seeking an energetic, tech savvy individual to work collaboratively with and provide administrative support to our FL Assurance Leader. This role will also serve as the Jacksonville office main point of contact and be responsible for various office related items. The ideal candidate will have the ability to partner with leadership, plan ahead, proactively communicate, anticipate issues, operate with a strong sense of urgency, have a natural curiosity to learn, exhibit a high degree of professionalism, and work well both in a team environment and autonomously.

Responsibilities:

  • Proactively support the FL Assurance Leader, who is responsible for the strategy and performance of the 200 professionals delivering audit services from our nine Florida offices, working collaboratively on various projects and initiatives, as well as with some administrative support such as calendar management, expense management, travel management, etc.
  • Serve as the administrative office lead for our Jacksonville office, with responsibilities such as:
  • Career advisor responsibilities for Jacksonville administrative team members, including communicating performance expectations and providing timely feedback, recognition, coaching, and employee counseling reports
  • Coordination of administrative coverage, monitor volume and workflow, process improvements, quality of work products, etc.
  • Coordinate/conduct and/or delegate to administrative team new hire local office orientation sessions as new employees join the firm
  • Coordinate and/or delegate to administrative team multiple office building/facility matters that include maintenance requests, supply ordering, employee access cards, parking access, etc.
  • Assist with monitoring project schedules and tracking progress of deliverables and follow-up items. Assists with driving closure of key action items.
  • May coordinate assurance leadership meetings, which may include site selection, travel arrangements, preparing and distributing meeting materials, preparing minutes, and follow-up actions. May attend meetings as requested.
  • Utilize creativity and technical skills to prepare presentations, communications, reports, proposals, and other requested deliverables.
  • Other duties as assigned


Basic Qualifications:

EDUCATION

  • Bachelor's Degree preferred or equivalent experience



EXPERIENCE:

  • 5 years of relevant experience



JOB-SPECIFIC REQUIREMENTS:

  • Intermediate to advanced Microsoft Office skills
  • Excellent project management skills - strong ability to prioritize and possess the agility to coordinate multiple projects effectively
  • Demonstrate professional communication skills - both verbally and in writing - with all audiences
  • Strong attention to detail
  • Ability to work independently and manage multiple tasks
