Description:The Board Administrator expertly manages all aspects of administrative support and project execution for the Chief of Staff, and supervises and administers activities related to the Board of Managers and related committees of JPS Health Network. The Board Administrator is responsible for planning meetings, generating reports, archiving and preparing materials, conducting research, and practicing communication with board members regarding related activities. The Board Administrator will work closely with board members, executive leadership, and staff to meet organizational goals. Additionally, this role serve as the primary resource for tasks related to maintaining document control and tracking of special projects of the Executive Office. Typical Duties:

  1. Serves as project coordinator for Chief of Staff on projects and obligations.
  2. Manages all correspondence (written, verbal, and electronic) for Board of Managers and committees.
  3. Establishes working relationship with the Board of Managers in verbal, written, and electronic correspondence.
  4. Assists with special projects and performs other related functions delegated or assigned.
  5. Planning board meetings, including time, date, location, and inviting attendees and following up on board meeting RSVPs.
  6. Prepares and distributes meeting agendas and documents ahead of meetings.
  7. Creates, updates, distributes and files Board communications and documentation.
  8. Keeps minutes of Board meetings during annual in-person meetings as well as maintains electronic copies of all minutes in compliance with audit requirements, including preparation and tracking of all Board related agenda, resolutions and activities during the in-person meetings in conjunction with the Chief of Staff.
  9. Plans, coordinates, and arranges Board of Director/committee meetings including assisting in drafting agendas, reserving facilities, arranging catering, etc. if needed.
  10. Assists with creation, disbursal and storage of board booklets.
  11. E-mails BOD reminders and add calendar notification.
  12. Prepares and distributes meeting materials/booklets for in person meetings in conjunction with the Chief of Staff.
  13. Creates meeting(s) timeline, prepare and distribute meeting notification, correspondence, and agenda materials in coordination with the Chief of Staff.
  14. Executive Office Liaison to external stakeholders for Special Projects.
  15. Coordinates all aspects & deliverables for identified Executive Office Projects.
  16. Tracks project risks, opportunities and issues in order to develop resolutions to meet quality and timeline goals and objectives.
  17. Maintains and analyzes project schedule and prepares regular status reports for management and key stakeholders.
  18. Helps determine the frequency and develop the content of status reports from the project team, analyze results and troubleshoot problem areas; proactively manage changes in project scope; identify potential crises and devise contingency plans.
  19. Sets and continually manages project expectations with team members and other stakeholders; identify and manage project dependencies and critical paths.
  20. Remains familiar with plans, specifications and other contract documents for all renovation projects and attends special project meetings with various individuals as required.
  21. If necessary and applicable this position provides support to the CEO in the absence of the Executive Office Manager.
  22. Assists in developing organizational charts, business documents, and various other reports.
  23. Performs other related job duties as assigned.

Qualifications:

  • Bachelors Degree in related field.
  • 4 years of experience in project coordination/management or other closely related role

OR

  • 8 years of equivalent experience
