About This Role
Summary
Provides program-specific and general support to Program Managers and supports the administrative needs of the program staff.
Essential Duties and Responsibilities

Internal and External meeting coordination (room reservations, food orders, visit request, etc.)

Assists the program team in the preparation and conduct of internal program meetings

Assists the program team in the preparation and conduct of external program meetings

Prepares monthly program management review slides; schedules monthly PMR reviews
-
Manages the update and submission of program monthly status reports
-
Coordinate submission of program CDRLs to data management
-
Tracks monthly customer CDRL delivery metrics; resolves late deliveries
-
Prepares Open PO Commits and Open REQ reports for weekly COE meetings
-
Reviews Open PO Commits reports to resolve late receipts, ensure near-term receipts are on track, and help identify future receipt acceleration opportunities

Initiates, tracks, and manages purchase requisitions through PO issuance
-
Assists the Program Manager in maintaining program EVM metrics (CPI and SPI), updating program phases, ETC reviews, etc.

Process vendor invoices (CLS programs only)

Coordinates and tracks program shipments

Provides status reporting of program manufacturing, development, integration, and testing tasks (as required)

Assists the Program Manager in maintaining the program Integrated Master Schedule (IMS)

Coordinates submission of program invoices

Supports development of proposals to include BOEs, IMS, Review Slides, etc.

Tracks monthly customer delivery metrics (per PO line-item dates); track and manage PO updates to align with contractual schedule changes

Other duties as assigned
Qualifications and Education Requirements
-
Bachelor’s degree in business, operations management, or in a related field or an equivalent combination of education and related experience.

PMI certification desired
-
Minimum 2+ years of experience in project oversight, analysis and/or administration
-
Proficiency in Microsoft Office Products: Windows, Word, Excel, Project and Power Point

Proficiency in MRP systems (Costpoint or equivalent) desired

Good verbal, written, and interpersonal skills
-
Able to handle multiple tasks concurrently

Attention to detail and follow through is imperative
-
Must be able to travel and work flexible hours and overtime, including occasional weekends
-
Must be familiar with all office equipment such as: copy machine and printer
-
Must be detail oriented and highly organized
-
Customer service skills and assertiveness to deal diplomatically with employees at all levels
-
Attentiveness to deadlines and the ability to prioritize in a fast-paced environment
-
Must be able to work with minimal supervision
Security Responsibilities
Must comply with all company security and data protection / usage policies and procedures. Personally responsible for proper marking and handling of all information and materials, in any form. Shall not divulge any information, or afford access, to other employees not having a need-to-know. Shall not divulge information outside company without management approval. All government and proprietary information will be accessed and stored electronically on company provided resources.

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
