JOB OVERVIEW

Coordinate all aspects of travel arrangements for Callaway Golf employees including air, car, hotel, and ground transportation. Interpret and enforce Expense Reimbursement and Travel Policy and educate travelers on all necessary information.

ROLES AND RESPONSIBILITIES

Coordinate Travel Arrangements (80%)

• Book and ticket airline tickets, and arrange rental car, hotel reservations and ground transportation. Book travelers on preferred airlines and hotels in order to maximize cost savings.
• Arrange group travel for PGA Tour Rep Travel, National Sales meetings, PGA show and miscellaneous group events throughout the year.
• E-mail itineraries and invoices to travelers.
• Create travel profiles and profiles on CONCUR.
• Document and forward information on Relocation, Benefit and spousal travel to Corporate Travel Manager.
• Must get written approval for Dept. VP and CFO for non employee spousal travel not related to relocation.
• Document all PNR's with correct Cost Center, Mgr name and SIO number if required.
• Handle confidential information regarding employee's termination. Closing USBANK Visa accounts in a timely manner.
• Responsible for monthly account reconciliation of US Bank Corporate Cards.
• Ensure all International travelers have proper Visa's and documentation and preform Global Security Reviews for all travelers. Coordinates Visa paperwork and works with Visa office on required documentation.

Educate Travelers on Expense Reimbursement and Travel Policy (10%)

• Forward new travelers copy of the Expense Reimbursement and Travel Policy.
• Educate travelers on new APP's Trip Case / CWT to Go.
• Educate travelers on policy and procedure.

Organize, update and file (10%)

• Update and store information on unused tickets.
• Update Sabre travel profiles.
• Update individual paper files.
• Create and update leisure files.
• Preform quality checks of all tickets for accuracy.

TECHNICAL COMPETENCIES (Knowledge, Skills & Abilities)

• Must have proficient knowledge of World Geography.
• Working knowledge of Sabre, Sabre Virtually There, MS Excel and Ms Outlook.
• Ability to work under pressure in a fast pace environment and multi-task.
• Demonstrate ability to use discretion and sound judgment.
• Excellent customer service skills
• Advance skills in MS Excel, MS Word and MS Outlook required.
• SABRE experience required.
• Executive Travel Experience.
• Strong International background.

EDUCATION AND EXPERIENCE

• High School diploma

Minimum 10 years experience in Corporate Travel Environment. Leisure Travel experiences a plus.
