Office Team – Reception Senior Specialist

Job Summary – the Reception Senior Specialist (RSS) reports to the Office Team (OT) Team Leader (TL) and is responsible for operating the corporate headquarters’ main reception desk. This position is the first point of contact for visitors to the company, partners with our Security team to control access to the office, and performs a variety of clerical and administrative duties. The RSS also leads a cohort of contract receptionists and is responsible for maintaining process and experiential consistency across our campus’ front desks, while continuously looking for process innovations and increased efficiencies. This position is responsible for intake, response, and delegation of queries to the broader team’s ticketing system and email aliases. The RSS is a key position on the OT and is entrusted with creating an exceptional experience while maintaining security for all of WFM’s employees, vendors, and guests.

Primary Areas of Responsibility –

  • Operates WFM’s main reception desk, with all the duties and responsibilities expected from a typical reception desk assignment, including spending at minimum 90% of their time stationed at the desk
  • Partners with the Security Team to check in guests, manage physical security badges and parking permits, manage their corresponding databases, and maintain the integrity of these systems
  • Able to interpret and effectively communicate sometimes complex and detail-heavy policies to both employees and guests
  • Alongside the OT TL, develops and innovates front desk policy and procedure, audits front desk operations across campus, and acts as a resource to the contract reception cohort
  • Manages support requests from Team Members, including from emails, service tickets, phone calls, and in-person requests. The RSS receives these requests on behalf of the entire team and either resolves them, or initiates the appropriate process to ensure resolution.
  • Cultivates professional relationships and partnerships with company employees and vendors in order to provide better service and a better experience
  •  Punctuality and consistent attendance are non-negotiable in this role

Requirements –

  • Understanding of office management, reception desk operations, and access control
  • High-level of positive energy, outgoing personality;
  • Exceptional attention to detail, communication skills, and customer service instincts;
  • Effectively adapts to change, demonstrates awareness of how his/her actions impact others;
  • Seeks opportunities to learn, grow, and innovate ideas that challenge the status-quo to identify ways of doing things better/faster;
  • Offers advice, guidance, and training to Team Members and business partners
  • Uses innovative solutions to enhance personal work and, where applicable, the work of the team
  • Recognizes when ideas are not working and takes steps to improve; does not wait for leadership to come in and fix the problem
  • Tailors communication style based on audience, purpose, and medium
  • BA/BS degree and 2-4 years’ relevant experience OR equivalent combination of education and relevant experience;
