About the Senior Executive Assistant at Showpad

As a Senior Executive Assistant you will have the opportunity to enable our executives and make an impact on a global organization with a winning culture. You’ll gain exposure to 3 different functions and have a variety of responsibilities, which keeps the role exciting. 

If you’re extremely organized, proactive, service oriented and like to work at a fast pace, then this opportunity may be a great fit for you. The role is located in the US HQ in Chicago, IL and should expect to work onsite regularly. 

The Executive Assistant will report into the Chief Financial Officer, who is located in Chicago, IL.  

Key Responsibilities for the Senior Executive Assistant at Showpad

  • Provide administrative support to the  CFO, Chief People Officer and SVP Global Sales
  • Manage the calendars of the CFO, Chief People Officer and SVP Global Sales and integrate professional and private appointments and events
  • Proactively schedule internal and external meetings and calls, taking into account different time zones
  • Book travel arrangements, hotels, flights, restaurants, etc.
  • Manage all incoming mails and take appropriate action depending on the topic, relevance and urgency
  • Attend certain team meetings and take notes and distribute meetings notes and action items to ensure follow through
  • Organize personal and shared folders and keep track of budget documentation and management meeting presentations
  • Follow‐up on important professional deadlines and private events and proactively remind the  CFO, Chief People Officer and SVP Global Sales
  • Track and help drive completion of key deliverables and important projects and follow‐up on outstanding items. Ensure presentations, including slides and narratives are impactful and properly edited.
  • Anticipate the needs of the executives and work collaboratively with other EA’s across the organization on best practices
  • Assist the organization in operational and office projects on an as needed basis

Required Skills for the Learning & Development Specialist at Showpad

  • Minimum 4 years of experience managing global senior level executives in a fast‐paced environment
  • A quick learner that thrives in a fast-paced, high energy environment
  • Strong work ethic and desire to help others
  • Highly resourceful and adaptable team-player, with a collaborative approach. 
  • Detail‐oriented with excellent time management and organizational skills
  • High levels of integrity and discretion in handling confidential information
  • Ability to learn quickly and adapt to change
  • Professional communication skills
  • Strong interpersonal skills
  • Ability to work flexible hours when needed
  • Proficient with communication and collaboration software used within a fast paced digital environment
