Senior Executive Assistant to Chief Executive Officer

The opportunity:
We're looking for a Senior Executive Assistant to join the Office of the CEO in direct support of our CEO. This role will be based in our SF office. Flexport continues to experience dramatic growth in all of our teams. You will be responsible for all aspects of the CEO’s needs, from complex tactical administrative duties to company strategic initiatives.
This role will closely collaborate with the CEO’s Chief of Staff to ensure full alignment on the priorities of both the CEO and Flexport. You’ll also ensure that information flows across the organization. You have a genuine interest in immersing yourself fully and learning all aspects of your executive’s business.
You will:
- Ensure the CEO’s time is spent on the most impactful and important matters, based on his priorities and the critical needs of the business
- Experience in complex calendar management at the executive level including:
- Interact with high level representatives of the media, clients, affiliates, public figures on behalf of the CEO; may coordinate and/or participate in meetings and interviews with these contacts
- Coordinate complex domestic and international travel arrangements
- Ensure the CEO is prepared for all meetings, conducting research, creating presentation materials, and compiling briefing documents in a timely manner
- Handle confidential and non-routine information and facilitate communication between appropriate departments
- Be a trusted collaborator on communications that will be sent from the CEO’s email and assist with managing his inbox
- Facilitate team meetings as needed, including organizing the agenda, taking notes, and providing follow-up on action items
- Complete expense reports per policy
- Act as a role model and conduit of critical information for the global administrative team
You should have:
- BA/BS degree and 8+ years of executive (C-level) and start-up support
- Team player mindset: must have influence, not through your proximity to the executive but through proving your intellect, cultivation of trusted relationships, and displaying appropriate discretion
- You must enjoy the executive assistant role enormously and understand the crucial impact the role has on the executive and the organization
- You have a calm head and a steady hand. You can easily turn a stressful situation to a problem solved
- The availability to deliver quickly, across global time zones, in multiple languages, and from locations all over the world. We need you not only to keep the trains running on time, but to speed them up
- You are unafraid to offer opinions, observations, and suggestions for improvement
- Experience with both Google and Microsoft Office productivity suites
- You have the ability to travel 25% / as needed
