The Administrative Assistant will provide administrative support to three senior leaders to include: SVP, Global Capital Deployment, VP, Investment Committee and VP, Capital Deployment Finance. This person will exhibit strong organizational, written, and verbal communication skills and must be confident in their ability to interact with staff (at all levels) in a fast-paced environment, sometimes under pressure, remaining flexible, proactive, resourceful, and efficient, with a high level of professionalism. Attention to detail and the ability to anticipate needs are key. This person will be expected to apply common sense and execute tasks with minimal direction. Open to onsite and hybrid. Preference for candidates sitting in Central or Eastern time zones.

What’s needed in order to do that:

  • Plan, organize and manage calendars, including resolving any overlapping commitments and protecting time for priorities.
  • Coordinate executive-level meetings and special events such as department all-hands or offsites
  • Coordinate travel arrangements and necessary documentation (domestic and global).
  • Manage and reconcile expense reports and invoices.
  • Coordinate onboarding and internal team communications
  • Coordinate special events with internal and external stakeholders, preparing documents and agenda items, keeping notes, and helping with day-of preparation as needed.
  • Develop, collect, and prepare information used for presentations, deliverables, and meetings.
  • Set up investment committee meetings, calendar appointments, updating distribution lists, and any other relevant tasks as needed.
  • Manage and maintain industry-relevant publication subscriptions and contracts for department.
  • Provide additional ad hoc project support as needed.

  • 5+ years of relevant experience
  • Knowledge of the entire Microsoft Office Suite - Word, Excel, PowerPoint and Outlook
  • Superior attention to detail and the ability to meet tight deadlines and juggle multiple requests is critical.
  • Integrity and discretion in handling confidential information and professionalism in dealing with senior executives is imperative.
  • Demonstrated excellent communication skills, both written & verbal
  • Must be a team player with excellent multi-tasking skills
  • Execute responsibilities with a sense of proactivity, urgency and follow through.
  • Detail-orientated with strong planning, organizational and time-management skills
  • Ability to work well under pressure, multi-task; work overtime (evenings and/or weekends) if necessary
  • Flexibility and the ability to change directions quickly
