The Research Coordinator position will assist in the Well Living Lab's primary objective of broadening the scientific and practical understanding of how indoor environments and human behavior interact to impact occupant health and well-being. This position leverages the unique opportunity and collaboration between Delos and Mayo Clinic. The successful applicant will be tasked with managing multiple medium to large, high priority projects at the same time. The position offers an opportunity to join an interdisciplinary team and collaborate with research and clinical scientists, technology specialists, and business professionals to help develop research programs that further the mission of Delos and the Well Living Lab.

Responsibilities:

  • Project Management:
    • In conjunction with the Lead Scientists, WLL leadership, external collaborators, and stakeholders ensure that all studies and related activities are performed in accordance with sponsored research agreements, regulations pertaining to the protection of human participants and WLL practices. This includes:
      • Assisting in the management of the daily activities of each study to ensure research integrity and deliverables within the preset time constraints and budget.
      • Providing updates to the WLL team, collaborators, and stakeholders on study progress.
      • In collaboration with the Director of Business Operations and Lead Scientists, the RC will assist in preparing an itemized budget.
      • Assisting Lead Scientists in development of materials and tools necessary to appropriately train individuals involved in the conduct of the study around issues related to (but not limited to): protocol requirements, schedule participant activities, execution of research plan, maintenance of training documentation, etc.
    • Provide overarching program management for all Well Living Lab studies. Examples include: use of WLL space, resources, timelines, etc. 
    • Support and update project management tools and WLL PM infrastructure.
  • Study-Specific
    • Assist in the management of study activities to ensure research integrity and deliverables within the timeline and budget.
    • Provide updates to the WLL team, collaborators, and stakeholders on study progress on a weekly basis.
    • In collaboration with the Director of Business Operations and Lead Scientists, assist in preparing an itemized budget .
    • Assist Lead Scientists in development of study materials and resources necessary to conduct of the study including, but not limited to, project charter, protocol requirements, schedule of participant activities, setting up a study board, identifying risks, reviewing lessons learned, execution of the research plan, maintenance of study related and IRB documentation, etc.
    • In collaboration with the Lead Scientist, assist in the alignment and review of the research protocol which may include reviewing the completed protocol, assisting with preparation of IRB documentation and subsequent management of the IRB submission, the management of all study files, etc.
    • Assist in reviewing modifications to the study protocol, aligning associated IRB documentation, and processing submissions for IRB modifications.
    • Collaborate with the Lead Scientist to define all necessary tasks and responsibilities across all WLL subteams (Research, Technology, Operations) and properly assign workload to ensure study completion in a time- and cost-efficient manner.
    • Review and develop a familiarity with the protocol (e.g., study proceedings and timelines, inclusion and exclusion criteria, confidentiality, privacy protections, etc.) to help facilitate later WLL team training; provides appropriate training and tools for WLL team members; documents date of training and signatures of study personnel trained on study-specific training log.
    • Assist Lead Scientists in communication of study requirements to all WLL team members involved in the study. 
    • Collect documents needed to initiate the study (e.g., CITI Training, financial disclosures).
    • Work with the Lead Scientists to develop and implement recruitment strategies in accordance with IRB requirements and approvals while also helping to schedule participant testing and, more generally, study participation.
    • Use WLL project management software to manage study timelines, task deadlines, and notifications to WLL team member regarding responsibilities, etc., and reacts quickly to mitigate any potential obstacles that may threaten study completion.
    • Act as main point of contact between WLL teams and study participants.
    • Act as main point of contact between WLL teams and study coordinator.
    • Work with Director of Business Operations to:
      • Maintain adequate inventory of study supplies.
      • Manage study budget and materials procurement.
    • Complete study documentation and maintains/stores study files in accordance with sponsor requirements and IRB policies and procedures including, but not limited to: consent forms, source documentation, narrative notes, if applicable, case report forms, and investigational material accountability forms.
    • Assist the Lead Scientists in determining the frequency of study-specific meetings and who should be in attendance. Additionally, help discern pertinent discussion topics for each meeting to ensure that any topic outside of the Lead Scientist’s purview is noted.

Prerequisite Qualifications:

  • Bachelor’s degree plus 4-6 years of related research experience.
  • Ability to work independently, problem solve, and prioritize the simultaneous management of multiple studies.
  • Possess strong organizational abilities and excellent oral and written communication skills
  • Critical thinker and detail-oriented.
  • Proven ability to see studies through their entire life cycle (e.g., planning, initiation, implementation, and closeout) and ensure their completion according to the outlined scope, budget, and timeline.
  • Strong familiarity with project management software, methodologies, and best practices.
  • Experience with recruitment and consent of research participants.

Preferred Qualifications:

  • Master’s degree plus 4-6 years of related research experience.
  • Holds a Project Management Professional (PMP) certification.
  • Experience working with human participants.
  • Experience working within a highly multidisciplinary environment.
  • Demonstrated track record of process improvement.
  • Experience utilizing Monday.com
