POSITION OVERVIEW
As the Receptionist for Blackrock Neurotech, you will be the first point of contact for our company. In addition to welcoming guests and greeting visitors you will be responsible for coordinating front desk activities including greeting employees and guests, answering and redirecting phone calls, and assisting the Office Coordinator when needed. This role is broad in scope and instrumental in ensuring a positive experience for our employees and guests.
Key Qualifications
- High school diploma or GED preferred; additional certification in Office Management is a plus
- Minimum 1-year of work experience as a receptionist or Office Assistant
- Proficiency in Microsoft Office Suite
- Hands-on experience with office equipment (e.g. fax machines and printers)
- Professional attitude and appearance
- Solid written and verbal communication skills
- Ability to be resourceful, take ownership, and be proactive when issues arise
- Excellent organizational skills
- Multitasking and time-management skills, with the ability to prioritize tasks
- Customer service attitude
- Bilingual proficiency in English and Vietnamese given priority
Essential Job Duties
- Greet and welcome guests as soon as they arrive at the office
- Direct visitors to the appropriate person or location
- Answer, screen, and forward incoming phone calls
- Ensure reception area is tidy and maintained
- Aid with catering for in-office meetings or events
- Receive, sort, and distribute mail and deliveries
- Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issuing guest badges)
- Ensure reception desk is covered during regular working hours
- Update calendars and schedule meetings
- Work with Office Coordinator to address issues and inquiries from employees and guests
- Provide general administrative and office support as needed
- Manage mental health crisis calls and document interactions
- Must be able to handle sensitive inquiries with professionalism and discretion, while documenting them accordingly
