In this role, you'll provide project coordination support to and office support the Operations Construction Management team in our Chicago Market. The ideal candidate thrives in a fast-paced, customer-centric environment, where they'll balance multiple priorities and respond to internal and external customer needs. This is an exciting opportunity to leverage your project coordination skills to support a dynamic team in a fast-growing industrial market, supporting some of the biggest names in logistics & e-commerce.
What's needed in order to do that:

  • Draft and edit all relevant project information, process for party signatures, and enter all contracts, addendums, and change orders for make-readys, tenant improvements and major capital construction projects into PeopleSoft and the Project Tracker.
  • Review and enter invoices into PeopleSoft.
  • Review and maintain contractor insurance files and solicit updates as required before payment.
  • Ensure costs are coded correctly and are in-line with the corresponding contract - including communicating with the contractor, subcontractor, vendors and/or consultants to understand appropriate costing and coordinating with the OCM team.
  • Prepare reports, monthly accruals, and budget-to-actual based on contracted costs.
  • Maintain the project filing directory on Box and DRS, ensuring contracts, invoices, drawings, and all other required documents are being uploaded and maintained.
  • Act as primary point of contact for projects on accounting processes and procedures. Educate contractors on Prologis accounting process requirements.
  • Prepare monthly expense reports and assist with travel arrangements and other administrative support requests for the Chicago team.
  • Coordinate customer notifications with Real Estate & Customer Experience Teams.
  • Handle all incoming calls, route calls to the appropriate person or department, take messages and answer general inquiries.
  • Greet visitors to the office.
  • Schedule all pick ups and deliveries for courier service and process mail on a daily basis.
  • Order and maintain breakroom and office supplies on a weekly basis.
  • Schedule routine and preventative maintenance for copiers, postage and other business machines.
  • Act as primary point of contact for office related vendors performing services in the office.
  • Other duties as assigned.


Tell us if you're ready.

  • Minimum of 3 years' experience in project coordination or administrative support; construction project coordination is preferred.
  • Familiarity in contract administration is required.
  • Proficient knowledge of the Microsoft Office Suite (e.g., Word, Excel, PowerPoint, Outlook).
  • Experience in utilizing an enterprise accounting system - PeopleSoft or similar.
  • Ability to carry out specific oral and written instructions from several OCMs and ability to pitch-in to support other members of the Chicago market team as requested.
  • Meticulous attention to detail and accuracy.
  • Execute responsibilities with a sense of urgency and follow-through.
  • Customer service mind-set and a team player mentality.
  • Positive, proactive work ethic and approach.
  • Proven ability to communicate effectively (oral and written) with customers, peers, management, contractors and vendors.
  • Demonstrated abilities to prioritize and manage multiple assignments in a fast-paced environment to meet deadlines with efficiency and accuracy.
  • Show tact, discretion, confidentiality and good judgment in handling sensitive and confidential matters and documentation.
