  • Purpose of Job
    • Provides onsite service coordination for infusion services as well as port access, venipuncture and related collections at MECC, OPS, WDMP and WH clinics.
  • Job Requirements
    • Education
      • Bachelors of Science required.
    • Experience
      • Minimum 3 years healthcare experience required.
      • Previous clinic coordination experience preferred.
      • Healthcare management experience preferred.

      • Computer knowledge with abilities in word processing required.
      • Strong interpersonal skills necessary to effectively communicate, and interact with patients, family members, hospital personnel, and co-workers.

      • Knowledge of databases preferred.

  • Essential Job Functions
    • Provides on-site coordination of Infusion clinic and related service locations and supporting operations by efficiently organizing a schedule to fit physician/patient/health system needs, gathers patient information and records follow-up recommendations.
      • Prepares schedules for supervising team and aligns schedules to meet needs of patients and physicians.
      • Coordinates/collaborates with ancillary departments.
      • Effectively reviews and adjusts schedule to ensure efficiency.
      • Prioritizes data collection according to manage/adjust needs.
    • Assures appropriate staffing levels for patient care and operations.
      • Facilitates the hiring and training of staff.
      • Adjusts staffing appropriate to patient load.
      • Reviews time sheets on a weekly basis.
      • Monitors staff overtime.
      • Flexes work volume between teams based on patient needs and resources.
    • Communicates with patients, families, and referring physicians to provide follow-up information.
      • Provides timely communication with patients and families as needed.
      • Completes follow-up correspondence made to referring physicians in a timely fashion.
      • Works collaboratively with other departments.
    • Ensures safety, competency and regulatory requirements are met.
      • Meet with Infusion Medical Director monthly. Agenda and Log required.
      • Collaborate in safety walk throughs, HOC meetings and regulatory and TJC readiness activities.
      • Ensure chemo competency is completed annually in infusion.
      • Ensure Infusion rounding checklist is completed quarterly.
      • Review high risk areas/policies annually.
      • Complete NOTES and follow up with appropriate education.
      • Participates in identification, analysis, reduction, and evaluation of risk issues.
      • Monitors on an ongoing basis environmental safety issues and appropriate interventions.
      • Reports issues/trends to Service Executive.
    • Supervises and promotes a positive work environment that encourages employee development, employee involvements, and employee satisfaction.
      • Establishes good rapport with staff members and peers.
      • Immediately addresses issues that may prevent a positive work environment.
      • Encourages staff to voice their concerns and works to address the issues.
      • Encourages staff to seek professional development, and education.
      • Coordinate and lead meetings with direct reports no less than once/quarter.
    • Promotes a collaborative relationship with the Medical Staff.
      • Establishes a good working relationship with the medical staff.
      • Seeks opinions of the physicians on ways to improve operations.
    • Develops and implements the short and long range initiatives which are congruent with the Hospital mission, vision, and core values.
      • Reviews previous and creates department initiatives/goals on an annual basis.
      • Reviews the initiatives/goals with staff for input and acceptance.
      • Presents annual initiatives/goals to Service Executive.
      • Present one performance improvement initiative with Infusion team.
    • Review financial spending in responsible areas to ensure fiscal responsibility.
      • Conducts monthly reviews of responsibility reports and addresses any variances.
      • Demonstrates responsibility in fiscal management of the departments.
    • Educate patients, families, and their caregivers as a contributor to the multi-disciplinary team supporting optimal patient care across the continuum.
      • Facilitates education to patients, and families about their treatment/procedure.
      • Supports each patient through by reinforcing education and coordinating information and care with a team of physicians and allied healthcare professionals.
      • Attends chemo rounds weekly to ensure collaboration between gyn/onc and infusion.
    • Ensures the implementation of department policies and procedures encompassing the needs of the patient population are assessed, met, and evaluated.
      • Creates an environment to identify opportunities for and give individualized customer service/patient care according to customer/patient needs.
