Specific Duties:

You will be responsible for carrying out the following duties specific to your Position:

  • Responsible for Small Project Management. This includes working with the customer to develop project scope, schedule, managing construction vendors, compliance with site safety regulations and final project delivery.
  • Responsible for furniture management, including purchase, storage, movement, keying and repairs.
  • Deliver consistent communication with customers, site managers, vendors, and occupancy planners.
  • Liaison for customer requests/resolution of customer issues.
  • Engage Workplace Move Coordinators to ensure data integrity is accurate through all project phases.
  • Partner with Project Management and Workplace Experience Management to develop cost savings.
  • Develops an understanding of and sound working relationships with key representatives of the client and all key suppliers/service providers to the site.
  • Ongoing knowledge of new customer space and relationship with new customers.
  • Responsible for final sign off from the customer, and the post start-up (PSU) punch list.
  • Own and manage site standards related to space/furniture and ensure alignment to region Finishes and Design Guidelines
  • Single Point of Contact for client Project Managers and Coordinators on the Site Master Plan, Master Plan revision, programming, schedule, scope changes, and turnover to customer.
  • Plan and execute project moves requested by customers and in support of facility master plans.
  • Document Project and Group moves in Global Moves Tracker.
  • Coordinate office moves to ensure all specifications are met and insure confidential material is handled properly.
  • Key resource to Day Services and Moving Company to ensure blueprints are understood and followed.
  • Ensure that site poly-line drawings are accurate. Document all changes (as-builts) and submit through the CAD Request Portal.
  • Coordinate with the movers and client Computing/Voice/Data Resources, the equipment and computer requirements of a scheduled move.
  • Arrange for moving supplies to ensure they are provided to the customers for all moves.
  • Responsible for communicating move information (move details & timing).
  • Participate in project walk through with Project Management and Workplace Operations Teams; accept space and identity changes/modifications necessary
  • Ensure seamless customer service and support is provided by Workplace Operations. Review/Approve all customer charged invoices
  • Coordinate with Workplace Experience Leadership and Site Project Management as needed to own/manage Small Project Process for site
  • Coordinate moves change of equipment, data switches, phone, LAN connections, server account changes, and modification of changes for client's People Finder system.
  • Coordinate with client contact to properly document Lab Space within Space Data System.
  • Coordinate with Customers, Project Management, & Health & Safety to support lab moves as needed.
  • Develop, deploy and standardize work processes.
  • Work with other groups to solve problems and improve processes.
  • Assist in preparation of all space related reports.
  • Be familiar with and operate to the Scope of Work as defined in the JLL/client agreement.
  • Understand the operational and technical requirements of the site.
  • Responsible for reports, plans and spreadsheets required to support the internal processes of the planning organization.
  • Negotiates successful space solutions while maintaining standards to meet client's requirements.
  • Any and all tasks assigned to the position.


Knowledge, Skills and Abilities

  • Position requires development and use of a fine-tuned sense of when and the knowledge of how to keep management appropriately informed. Requires quick thinking, good judgment and expertise not covered by established procedures and independent, self-initiated action.
  • This position has multiple priorities and frequently multiple customers as well as a demanding work load. He/she must be able to identify priorities and complete with little or no supervision.
  • This position must interface effectively with line/function leadership to meet business priorities. An understanding of their customers' long term strategic plan and mission and vision are essential to the success of this position. A fine-tuned sense of knowing when to ask questions, give information and keep confidentiality, is essential for building trust. Timely and accurate communication is essential to successful space planning.
  • Responsible for communicating changes initiated by client, to their customers, in a persuasive factual manner that gains customer acceptance, and for gauging the response to those changes.
  • Responsible for space allocations, adjacencies and long term planning. Discrepancies can result in less efficient use of space and have significant impact on our customers, and the Company.
  • As process owner and key interface for the client, the Space/Move Management owner is responsible for maintaining successful positive business relationships with our customers.


Qualifications:

  • Bachelors' degree in business, engineering, space planning and or project management.
  • Minimum of five (5) years industry experience in project management, facilities management, or move management.
  • Project Management experience preferred.
  • Excellent interpersonal skills to manage diverse range of service providers and Client representatives.
  • Sound written, oral and presentation communication skills
  • Demonstrated ability to manage multiple and complex operational matters on a daily basis
  • Capacity to deal with ambiguity and address complex problems
  • Core financial, technical, engineering or building management skills
  • Proficiency in Microsoft Office, Word, Excel, PowerPoint, and WebEx
