Personnel Specialist I

General Summary

The Forms team provides support during multiple stages of the hiring process. The team reviews all background investigation forms for accuracy, assist candidates with questions and system access, and responds to tickets. The team communicates in a clear and concise manner for forms rejections and ticket resolution. Ensures all system statuses are accurate, correct forms are attached and released to agency. Core hours are Monday-Friday 7am - 6pm Eastern.

The Forms team consists of 10 Specialists Analysts; the team works closely with the Candidate Security ensure candidates move through the background investigation process as timely as possible. The Industrial Security Specialist I will reinforce the use of standard operating procedures to ensure compliance and quality. The Industrial Security Specialist I will report trends to identify and mitigate risks and propose changes to improve quality and efficiency.

Essential Duties and Responsibilities

Responsibilities Include:
• Review forms for accuracy.
• Professionally communicate (written and oral) with candidates about their forms and tickets to resolve outstanding issues.
• Ability to manage multiple screens and systems while ensuring accuracy.
• Support airport, field and candidates during Special Hiring Events including encouragement calls.
• Assist in ways to optimize procedures
• Flexibility to adapt to varying volume of work and new technology.
• Assist with the daily activities including forms, tickets, and special projects.
• Ensure processes for protecting Personal Identifiable Information strictly followed
• Keep management informed on issues and problems
• Pro-actively troubleshoot technical issues (e.g.; rebooting system and other level 1 troubleshooting) and report issues related to Recruitment and Hiring systems.

Minimum Qualifications
• High school graduate or equivalent
• Proven analytical experience
• Experience in customer service is advantageous
• Proficient in English
• Proficiency in Excel and working knowledge of other MS Office software
• Excellent professional communication (written and oral) abilities
• Excellent organizational and time management skills
• Ability to work under pressure including flexibility and adaptability to workload volume, client requests, and technology.
• Must be a US Citizen
• Must be able to obtain a Public Trust Clearance

Relocation funding is not available for this position.

Desired Qualifications
  • Availability including evening and weekend hours if needed
  • Availability for travel if needed to support hiring events

Knowledge, Skills, and Abilities
• Knowledge of federal recruitment and hiring is a plus including the SF-86 form.

PhysicalDemands

Light office dutieswhich may include sitting for prolonged periods of time, viewing digitalscreens for prolonged periods of time, lifting up to 10 pounds, use of a deskor mobile phone, typing on a keyboard, writing with a pen, pencil, or stylus, etc.
