Position Description

Job Description

The Operations Associate II works closely with the Director of Operations and Operations Manager to assist with day-to-day operations of the firm. This role is responsible for maintaining and reconciling client account data within the firm's portfolio accounting system. This includes reconciling transactions, maintaining security master information, and identifying/applying the appropriate methods for managing data, setting up new accounts on the system, and processing cashiering requests. The Operations Associate II will have the opportunity for training and development to further their knowledge and skill set in the area of Operations.

Responsibilities

  • Facilitates daily reconciliation of account data.
  • Updates and maintains security master to ensure proper set up of all security types including equities, fixed income, mutual funds, ETFs, etc.
  • Manages the firm's process for tracking maintaining accurate cost basis calculations.
  • Handles communications with portfolio accounting vendor.
  • Processes service team requests for non-recurring client distributions, including RMDs.
  • Calculates and distribute trust income quarterly.
  • Monitors and tracks incoming transfer of assets both for new and existing clients.
  • Prepares, assembles and distributes client portfolio reports on a quarterly basis.
  • Assists with the annual distribution of privacy policy and tax estimate reports.
  • Produces and distributes quarterly performance reports.
  • Responsible for setting up new accounts on our different systems.
  • Assists the Operations team with evaluating and documenting best practice standards.
  • Works with WAs and Client Service team to prepare new account paperwork, as well as various other custodial forms for new and existing clients.
  • Prepares correspondence for distribution across L W teams regarding changes to practice standards and/or updates from technology providers.
  • Supports Operations Manager and Director of Operations in compliance-related tasks and audit requests.
  • Stays apprised of L W firm policies, industry best practices, and is constantly evaluating technologies to enhance our capabilities.


Requirements

  • Proactive and solution-oriented mindset.
  • Strong technology skills, including CRM database, document management software and Microsoft Office applications, particularly Excel and Microsoft 365.
  • Ideally, experience with Tamarac Reporting, Trading and CRM, Charles Schwab and Fidelity custodial platforms or other similar systems.
  • Excellent organizational and communication skills with a proactive approach.
  • High attention to detail and timely follow through.
  • Strong communication skills - verbal and written.
  • Professional appearance and demeanor.


Education/Experience

  • Bachelor's degree (B.A. or B.S.) from four-year college or university.
  • Three to five years related experience and/or training; or equivalent combination of education and experience.
  • Stable work history.
