Summary

The Operations Administrative Assistant supports the organizational flow of the department and does preliminary and follow-up with vendors and suppliers on damage product claims and works closely with internal and external teams to ensure leased equipment is returned on time and wholesale equipment is processed according to company polices.

Job Responsibilities

  • Deliver support to the Director of Operations as it pertains to leased returns, wholesale equipment and damage claims with suppliers
    information to our internal and external customers and vendors
  • Process daily vendor damage claims and maintain Excel spreadsheets for review, reporting and follow-up with vendors
  • Works cooperatively with carriers, suppliers, and service companies to maintain a successful partnership and maintain compliance
  • Perform data collection and maintains Excel spreadsheets on leased and wholesale inventory
  • Coordinates with Lease Administrator, Sales, Customer and Leasing companies returns of leased equipment
  • Ability to work in a fast-paced working environment, including the ability to backup delivery scheduler responsibilities when required with the capability to switch job functions/roles quickly
  • Ability to work with warehouse teams to conduct cycle counts, equipment inventories
  • Coordinate the compilation, preparation, and execution of outbound shipments per carriers or vendor required documentation (Packing slips, BOL’s, etc.)
  • Provide performance information by compiling, initiating, sorting, and analyzing production performance records and data, answering questions, and responding to requests from various departments, carriers, and suppliers
  • Provide performance information by compiling, initiating, sorting, and analyzing vendor performance on credits and claims and records data, answering questions and responding to requests concerning data to both internal and external recipients
  • Coordinates weekly Wholesale equipment bids and coordinates invoicing and shipment

Job Requirements

  • Associate degree
  • 0 - 2 years of experience in related field
  • Knowledge of warehouse and distribution operations
  • Proficiency in Microsoft Office Suite (Excel, Word, and Power Point)
  • Ability to identify and resolve problems
  • Ability to communicate effectively verbally and through writing
  • Attention to detail
  • Strong written and verbal communication skills
  • Ability to multi-task
  • Knowledge of transportation, BOL and carrier requirements
