3Play Media is a rapidly growing, profitable technology company with a startup culture making a huge impact on the way people consume online media. We provide premium captioning, transcription, audio description, and translation solutions to over 5,000 higher ed, enterprise, media, and government customers. Our goal is to simplify the workflow through flexible APIs, a secure online account system, and integrations with a multitude of players, platforms, and lecture capture systems. We got our start in 2007 out of MIT Sloan and we are based in Boston, MA.
We are looking for a full-time Office Manager to join our growing team. The Office Manager is responsible for creating and maintaining a positive work environment that aligns with 3Play's culture. They will ensure that the office runs smoothly, employees are engaged, and that everyone has the tools needed to maximize productivity. The perfect candidate will be energetic and comfortable wearing multiple hats.
This position reports to the Senior Director of Human Resources and will be an integral part of the organization. The Office Manager has a wide and exciting range of responsibilities across the organization including: facilities management, administrative assistant, and social coordinator.   • Fosters a welcoming and supportive environment for all employees and visitors
  • Orders, stocks and organizes all office supplies, beverages, and snacks; manages all related vendor contracts
  • Monitors the office conditions and arranges for all necessary maintenance and repairs; ensures cleanliness and safety of office
  • Serves as liaison with property management services to address day to day concerns and manages associated contracts and lease
  • Manages relationship with IT vendor, ensures all IT needs/requirements are met, and assists with requests for IT support
  • Handles all ingoing and outgoing mail and packages
  • Orders office furniture and computer equipment
  • Completes administrative tasks for the executive, finance and HR teams
  • Addresses employee' queries and escalates appropriately
  • Plans and manages company events; serves as chairperson of the social committee and facilitates all hands company meetings
  • Participates as needed in special projects for the administrative, finance and HR teams
  • Office calendar and reservation systems management
  • Assists with travel and lodging arrangements for employees as needed
  • Perform executive assistant duties for C-suite as needed
  • Assists with HR duties as needed to include: onboarding new employees, benefits, and payroll
  • All other duties and responsibilities as may be assigned

  • Experience as an administrative assistant, executive assistant or office manager; Associate's or Bachelor's degree preferred
  • Tech savvy - Ability to do basic troubleshooting on technical issues and escalate as necessary; comfortable working on both Macbooks and PCs
  • Superb written and verbal communication skills
  • Proficiency with MS Office (Word, Excel, and PowerPoint), G-Suite, Zoom, Slack, DropBox, and Adobe preferred
  • Excellent organizational, planning, and time management skills
  • Ability to multi-task in a fast-paced environment
  • Detail oriented with advanced problem-solving skills
  • Creativity and ability to suggest improvements
  • Discretion in handling highly sensitive and confidential information
  • Enjoys working both independently and together as a team
  • "Roll up your sleeves attitude" and flexibility - Willing to many different types of tasks and assist employees and visitors
  • Ability to work outside of normal office hours occasionally
  • Knowledge of basic HR practices preferred
