We are currently seeking a Property Administrator to join our office property management team. Our team's priorities are:

  • Providing an experiential approach which guides a differentiated property management experience, resulting in better care and better business

What this job involves

  • Uploading and coding invoices in client accounting system.
  • Prepare monthly accruals to meet accounting calendar deadlines.
  • Review AR on a routine basis to ensure rent is being paid in a timely manner. Follow up with accounting contacts as necessary, prepare and send late letters, access late fees as per the lease agreement as directed.
  • Enter AR notes into client accounting system, review monthly AR report prior to sending to GM for approval.
  • Prepare monthly Tenant billbacks for AR posting, prepare Tenant invoices and send to accounting contacts.
  • Complete Lease Abstracts for new Tenants
  • Prepare any reoccurring billing changes, and other forms necessary to administer changes to AR or Lease.
  • Schedule building activity including move-ins / move outs.
  • Provide full administrative support including phone support, typing, reports, filing and distribution of correspondence.
  • Prepare and coordinate bid proposals and service contracts. Complete Service Contract tracking sheet as needed.
  • Assist with property inspections and notify appropriate parties of items for correction.
  • Complete client required Risk Mgmt forms and documentation as necessary.
  • Complete all CEP requirements as discussed and reviewed with GM
  • Maintain lease and property files.
  • Assist with monthly and quarterly management reports as well as annual budget preparation.
  • Administrative tasks and projects as required.

As a Property Administrator at JLL, you will apply your commercial property management admin experience to support our office property management team by interacting with tenants and vendors, assisting with budgets and financial reports, reconciling A/R accounts and coding invoices, tracking certificates of insurance, tracking work orders, contracts. Education and experience

  • A high school diploma is required. Bachelor's degree is preferred.
  • (2+) years of experience supporting a commercial property management team is required.
  • Advanced oral and written communication skills. Strong organization and time management skills.
  • Experience in: Microsoft office, Excel, Word, IMPAK work orders system, YARDI, AP/AR, certificates of insurance, tenant and vendor interaction, contracts, filing.
