The purpose of this position is to manage and maintain a SharePoint site collections and relative projects primarily within the area of Enterprise Support Services (ESS) and associated sites collections, such as the firm's region and office, and RSM Delivery Center (RDC). The Knowledge Management professional, also known as a Site Collection Business Owner (SCBO) will have overall knowledge of the architecture of the collection and will manage all associated projects. They will be the main point person to help make critical decisions pertaining to the architecture and/or new features, other system integrations and the implementation of them. They will be primarily responsible for the overall quality assurance of the site content and processes.

Essential Duties

ESS Knowledge Management Strategy:

  • Responsible for the articulation of the overall ESS knowledge management strategy including sites and tools to support ESS teams, and sites and tools tied to ESS support of our various businesses
  • Collaborate with the communications team and other key stakeholders to ensure alignment.
  • Oversee the overall management of ESS-specific KM sites, including training and providing direction to the site owners, and periodically seeking feedback from users to accelerate engagement
  • ESS knowledge management technology leader - lead ESS usage of firm KM platforms as well as responsibility for technology identification and KM connections with other tools (i.e. RSM's communications app)
  • Set knowledge management objectives and leverage data analytics to continually improve the user experience.
  • ESS Site Collection Business Owner (SCBO)
  • Ensure alignment with Enterprise KM governance, architecture and design policies and procedures. Performs as the SCBO liaison with IT with respect to site changes.
  • Compile and review various reports to help maintain effective content management and improved user adoption.
  • ESS representative on the Enterprise KM team and attend regularly scheduled SharePoint and Knowledge Management meetings.
  • Represent the ESS needs and work with KM partners and other stakeholders to compile and analyze business needs.
  • Participate in setting technology development strategy. Identifies new areas on an ongoing basis where SharePoint can be leveraged. Participates in ongoing research to determine SharePoint best practices and capabilities.
  • Consult with other line of business or functional areas on cross-domain system integration.
  • Perform regular maintenance to include (but not limited to):
  • Work with subject matter experts, consistently revisiting and reviewing content to ensure business relevance.
  • Monitor site usage and follow up on dormancy on a monthly basis.
  • Monitor to ensure workflow and tasks are working correctly.
  • Monitor and update term sets and metadata as needed.
  • Maintain permissions.
  • Is the "Super Owner" of the site collection. Is the first line of day-to-day support for users and other Site Owners below top level site. Approves the provisioning of new sites within their given LOB or functional area.
  • Write technical documentation or guidance as needed and train end-users. Identify training gaps and escalate to Enterprise Governance Council.
  • Perform error identification, investigation and resolution - escalate to Enterprise KM and IT as needed.
  • Is able to work in SharePoint web apps within the Classic and Modern environments. Ability to design and develop basic forms.
  • Assist Enterprise KM team in annual quality assurance checks.
  • Chair an ESS KM team to ensure strong connectivity and strategy alignment across ESS, including serving as a coach and connector on enterprise KM topics to communications, site owners and others who should have input into vision, strategy and project prioritization, or have KM needs.


Qualifications

EDUCATION/CERTIFICATIONS

  • Bachelor's degree or equivalent experience (required)


TECHNICAL SKILLS

  • Advanced experience using SharePoint Online, Classic or SharePoint 2019 or 2016 (required)
  • Knowledge of SharePoint Modern UI (preferred)
  • Intermediate experience using Microsoft Forms or equivalent (required)
  • Knowledge of Microsoft PowerPlatform (Apps, Automate and BI) (preferred)
  • Intermediate experience using Microsoft Office Suite (preferred)
  • Knowledge of Active Directory, LDAP and DNS (preferred)
  • Knowledge of web analytics tools such as Google Analytics, CardioLog or equivalent (preferred)
