Integrated Workplace Management System (IWMS) Application Administrator

Role Purpose
The Integrated Workplace Management System (IWMS) Application Administrator is responsible for addressing questions, requests, incidents, maintenance, and enhancements while working collaboratively with stakeholders and users.

What this job involves
  • Act as a liaison between the IWMS users/ teams, account JLL Technology team, account Business Intelligence (BI) team and corporate JLL Technology team
  • Assist in developing and deploying operating procedures to drive quality, efficiency, and consistency
  • Interface with account teams to understand goals, requirements, and long-term strategies; translate this into long- and short-term IWMS or BI projects/ initiatives to ensure the needs of the account are meet
  • Interface with the customer's Lines of Business to understand goals and requirements
  • Identify and follow through on process and functionality improvement initiatives
  • Guide the account team through decision-making processes regarding cost/benefit, timelines, and operational and change management issues
  • Follow the Change Request (CR) process including documenting business requirements, create specification document/ mock-up, create/ coordinate testing plan, implementation/ change management plan, and obtain approvals
  • Front line technical consult and support for users of other systems that interact with IWMS data including data integrations
  • Run data queries to identify data issues and provide recommended solutions
  • Complete data analysis, quality assurance, scrubbing, and normalization
  • User support including access requests and system functionality/ procedures
  • Host reoccurring training session on system functionality and procedures
  • Provide management and resolution of IWMS issues, questions, and requests
  • Responsible for creating and maintaining documentation for:
    • 'as-is' and 'to-be' processes
    • Operating procedures
    • Reporting and Key Performance Indicators
    • Data gathering templates and management plans

Desired skills and experience for this job
  • BS or BA in related discipline or related experience.
  • 2+ years of experience in an Application Administration/ System Administration role with increasing responsibility
  • 2+ years of experience in Application Administration, documentation, and document management
  • Administration experience and working knowledge of FM:Systems (preferred), Serraview, or similar IWMS software.
  • Excellent interpersonal, communication, problem solving, and organizational skills
  • Analytical mind, accuracy, and can-do attitude
  • Able to communicate complex ideas in a simple, friendly manner to non-technical users verbally and in documentation
  • Strong knowledge of Microsoft Office: Outlook, Teams, Word, Power Point, Excel (advanced formulas, pivot tables, basic VBA)
  • Basic knowledge in SQL for querying large datasets; or willingness to learn
  • Experience in AutoCAD and Revit preferred
  • Experience leading group presentations including end-user training classes
  • Conceptual to working knowledge of Facilities, Real Estate, Occupancy Planning, Move Management and Asset Management industry and practices
  • Conceptual to working knowledge of Tableau, Power BI, or similar reporting software
