The Challenge

We are hiring a Global Mobility Coordinator to join the growing OneTrust Global Mobility team, who will be responsible for administrative operational excellence of the immigration program, including the coordination of daily activities, service delivery and reporting for the team. The Global Mobility Coordinator will support the immigration inbox volume, responding to queries in a timely manner to ensure service level satisfaction and help with employee engagement and retention. 

Your Mission

  • Administer document intake and gather reporting to confirm list for sponsorship for the H-1B cap process for the fiscal year 
  • Review vendor invoicing for accuracy and provide to Accounts Payable for payment/processing 
  • Draft business, introduction and employment verification letters for business travelers 
  • Communicate with payroll on FICA tax exemptions as it relates to the OneTrust sponsored population 
  • Manage and create Public Access Files  
  • Coordinate and track the case movement spreadsheet and reporting of OneTrust sponsored talent globally, including coordination of work visas (i.e. H-1, L-1, TN, Tier 2 ICTs) petitions, LCAs, renewals, visa withdrawals, business visitor visas and permanent residency cases 
  • Record keeping and retention for case files, copies of work visa, I-94s, receipt notices, approval notices, petitions documents in HRIS 
  • Perform PAF and OPT/CPT audits quarterly 
  • Ensure security access rights are granted and removed from case management system when there is internal movement  
  • Support in drafting relocation agreements for movement of employees to different OneTrust entities/locations 
  • Manage posting notices required for NIV and recruitment process for permanent residency cases 
  • Assist with continually updates on Global Mobility and COVID-19 pages on the Employee Resource portal.  
  • Gather content from global mobility team members for the OT monthly newsletter. 
  • Manage the travel tracker, run weekly, monthly, quarterly ad hoc reporting on foreign national population to support the Global Mobility team. 
  • Record meeting notes from team meetings and vendor weekly meetings, save centrally for team to access. 
  • Maintain and update immigration communication templates and organize electronic filing system for easy access. 
  • Work with others on the Global Mobility team to support large scale projects, including writing and deploying communications, filing strategies with Outside Counsel, updating case management dashboards as needed. 
  • Assist with the management of TNCs from E-Verify with onboarding team as needed. 
  • Process visa data entry upon hire in employee worker records in HRIS. 
  • Handle withdrawals through partnerships within the organization and third-party vendor and track attrition rates of sponsored talent. 
  • Assist with USCIS site visits, if needed

  • Able to prioritize work and take direction in a team setting (from multiple parties). 
  • Comfortable with fast-paced demanding work and requests from employees and team members. 
  • Someone with strong written and verbal communications skills. 
  • Responsive and customer-service driven 
  • Eager to learn and grow in the global mobility scope

Your Experience Includes

  • Bachelor’s degree in Human Resources, Business or relevant degree preferred 
  • 2+ years of immigration coordination experience  
  • Knowledge of HR practices, immigration law, as well as legislative and regulatory changes. 
  • Proficiency in Microsoft Office, highly experience with Excel (pivot tables, automation, etc.) 

Extra Awesome

  • Experience utilizing technology solutions to support immigration compliance requirements 
  • Knowledge of US (or AMER) key global mobility life-cycle processes and methodologies, preferably working in a Corporate HR environment
