KEY RESPONSIBILITIES

Provide exceptional client service

  • Provide full executive administrative support to region's Market Director
  • Build and maintain strong working relationships with business, operations and corporate function leadership/teams cross the region; establish an organizational culture of trust and teamwork
  • Provide administrative support toteam, toinclude expense reports, check requests, invoice processing, photocopying, mailing, scanning,filing,typing and editing documents
  • Be a digital champion with proficiency in the Firm's technology tools and platform
  • Meet all financial deadlines with accuracy (ie. AP/expense reports, time reporting)
  • Comply with firm's T&E policy and regional expense guideline; be proactive in identifying and escalating expense issues;identify/ implement cost saving opportunities
  • Create and maintain an accurate and organized project filing system with ease in information retrieval
  • Perform other administrative support including ordering business cards, photocopying/scanning, mailing
  • Marketing Tasks Assist with new business opportunities from lease roll-over data, growing company intel, mergers/acquisitions, subleasing, recent sales, etcthat can lead to new business opportunities
  • Assist with maintaining marketing collateral and listing services with the most recent and relevant content - photos, brochure, space descriptions, virtual tours, etc
  • Help with coordination and follow-through on marketing plans for property listings
  • ResearchRelated Tasks
  • Assist with tracking tenants and other deals in the market and following up with brokers inside and outside of JLL
  • Assist with the compiling of research reports for San Diego including specific submarket reports
  • Help to implement a systematic approach to sending weekly / monthly / quarterly research reports and other relevant content to prospects and existing clients


  • Deals / Transactions
  • Check-ins with and follow-up with brokers who have prospects for our listings
  • Use our listings to make warm calls to potential Tenant Prospects or their brokers, if known
  • Assist with proposal tracking and coordination. We have a team member who drafts all of our proposals and logs the Tenant activity on our listings in a software called VTS. Assist with keeping VTS update for a weekly report that is sent to our Landlord listing clients
  • Communicate directly with Landlord clients via email and phone calls regarding client requests, projects and tenant prospects
  • Help to facilitate deal process - tour coordination, coordination with architects for space planning calls/meetings, and coordination for construction pricing with Construction Management Team
  • Participate in weekly / bi-weekly calls with many of our Landlord listing clients
  • Miscellaneous (some of these will be more mundane and clerical, but will help to get you ramped up and in the flow)
  • Assist with project and data requests from Landlord clients. Coordinate with marketing and research as necessary to respond to requests
  • Assist with quarterly data and market research request coordination from landlord clients
  • Assist with coordinating conference calls
  • Assist with managing emails s (projects, follow-up, scheduling coordination, etc.)
  • Assist with keeping our listing tenant activity database up to date - VTS software noted above
  • Assist with keeping our client database up to date (Cloze) as well as updating contacts in the national JLL Database of landlords and tenants

QUALIFICATIONS AND EXPERIENCE

  • Four (4) year degree or equivalent business experience
  • Good financial and quantitative aptitude
  • Strong proficiency with CRM and other technology tools
  • Strong proficiency in Microsoft Office (Word, PowerPoint, Excel, Outlook)
  • Adobe Create Suite (InDesign) a plus
  • California real estate license required
