MassMutual Integration Management Office (IMO)
MassMutual continues to strengthen and diversify its business through strategic acquisitions. The Integration Management Office team will provide leadership and support and act as a central hub across MassMutual, acquired companies, impacted companies and stakeholders to oversee the relationships, manage tactical and strategic operations of the integration and provide business continuity support to ensure integrations don't lose traction, commitment or value.
The IMO team is responsible for, but not limited to:
Provide support to all business stakeholders impacted by the integration through a regular cadence of huddles, communication and program governance in order to centralize risks, issues and progress tracking
Set program standards for revenue and cost synergy identification and tracking for the business on behalf of MassMutual
Oversee the Transition Services Agreement (TSA) migration plan, billing, and wind down
Manage financials of corporate services, deal costs, and business expenses including inter-company billing between MassMutual and acquired or impacted companies
Communicate post-close program updates, issues, and escalation items to impacted businesses and the executive leadership team
Coordinate planning, communication and execution of post-close tactical and strategic initiatives
Work with executive and senior leaders across MassMutual to realize integration value by helping to drive strategic decision making
The Opportunity
The Executive Assistant will be responsible for providing communication, project and administrative support to the IMO team in executing across the 5 pillars of IMO accountability:
Program Communication, Coordination, & Relationship Management
Transition and integration Initiatives (planning, oversight and milestone management)
Revenue and Cost Synergy and Realization (planning, oversight and value realization)
TSA Oversight and wind down
Financial Management
This role will be a critical component of the IMO team working on the front lines to help execute communications, schedule and coordinate integration specific tasks and plan activities to help ensure that the integration achieves its objectives.
Key Responsibilities
Assists IMO managers with cataloguing and communicating milestone plans, project budgets and other key project artifacts across the integration
Responsible for scheduling and coordinating meetings/huddles, travel accommodations, large in-person meetings and provides calendar support to the IMO organization
Work closely with executive assistants/liaisons across the company to plan and prioritize GALIC integration meetings and events
Actively listen, participate and document key meeting outcomes and action items thus serving as one of the primary point of contacts for workstream information and updates
Responsible to reconcile and process invoice payments in MassMutual's vendor management system related to project expenses, consultants and other IMO invoices or expenses
Assist IMO organization with preparation of presentation materials to communicate the organizations overall progress to achieve its goals and escalate any risks, issues and/or decisions where appropriate
Support the onboarding and off-boarding activities of contingent resources and be the de-facto onboarding representative for the IMO organization
Assist in annual forecast, budget and planning cycle
Assist IMO organization in ensuring project managers across the integration complete required weekly and monthly tasks, following the IMO governance model
Assists with employee engagement, team building, event planning and other administrative functions as needed
Handles small project tasks and coordinates or performs activities as needed
Minimum Qualifications
A minimum of 3 years of related experience with executive administration or project management
A minimum of 2 years experience event planning, calendar management and meeting coordination
Working knowledge of Power Point, Excel, Ariba, Concur, and other technology required to support an execution organization
Expert organizational and time management skills
Experience with employee onboarding, employee engagement and invoice management
Ideal Qualifications
Bachelor's degree, preferably in project management or business administration
Demonstrated ability to communicate effectively using verbal and written methods to all levels of an organization
Can-do, positive attitude and comfortable working with senior, executive and external stakeholders
Team Player / Relationship Building: Collaborative with strong interpersonal skills; able to relate to and build strong relationships with diverse internal and external audiences/constituencies; leverages the ability to deliver effectively.
