Executive Assistant at RELI Group (Washington DC)
Responsibilities:
- Respond to inquiries from oversight agencies including OMB, DHS, Congress, etc
- Respond to inquiries from internal TSA stakeholders and those external to TSA, including airlines, airports, and security technology industry representatives
- Coordinate with stakeholders to assist in the preparation of briefings, as needed
- Collect inputs and assisting in the preparation of reports, as required
- Develop ad hoc presentations
- Assist with scheduling and coordination of TSIF Tours, and any related documents, SOPs, or materials
- Schedule and track usage of the TSIF briefing, training, and conference rooms
- Assist with controlling, tracking, and maintaining accountability of audio-visual equipment
- Assist official TSIF and HQ visitors by providing them with proper security procedures, directions, and upon arrival guiding them to the appropriate locations
- Prepare agendas, meeting minutes/notes, and memorandums
- Coordinate on action items, due dates, correspondence, and other matters
- Create and manage Distribution Lists and Contact Groups in MS Outlook
- Coordinate communications materials, compiling and consolidating various responses
- Create and distribute Office and facility-wide communications
- Oversee Reservation Calendar for Government Vehicle, as it relates to availability in consideration of the Executives this position supports
- Track, monitor, and maintain calendars and meetings
- Assist with research and planning for travel arrangements
- Assist with the management of employee and visitor parking passes
- Compile, manage, coordinate, and communicate on all mail/deliveries for the TSIF as the primary mail POC, ensuring all parcels and packages are distributed to the appropriate recipients
Requirements:
- Bachelor’s Degree and 6+ years of Executive Administrative experience
- Government agency experience is preferred, but not required
- Solution-oriented and able to work independently
- Capable of performing all duties using the Microsoft suite of tools, to include Word, PowerPoint, Excel, Outlook, Visio, SharePoint, and Project
