Job Description
What you get to do in this role:
- Provide overall administrative support directly to OCEO; assist with daily administrative duties and complete a broad variety of tasks that include managing an active calendar of appointments; completing expense reports; composing and preparing correspondence; arranging complex and detailed travel plans, itineraries and agendas and compiling documents for meetings
- Manage the OCEOs schedules and all appointments; arrange hotel, travel, meal and other items for clients and other guests of the OCEO both domestically and internationally
- Ensure timely preparation and delivery of all briefing information for all meetings
- Communicate regularly with internal and external customers, prospects, partners, and vendors while exhibiting the highest degree of professionalism, courtesy and diplomacy
- Ensure and maintain confidentiality of all appropriate communications and documentation.
- Prioritize and assign all incoming written and oral communications, when necessary, to appropriate person(s) for response
- Organize and manage all travel arrangements including agendas, flights & hotel details
- Work with little or no supervision, while significantly increasing the OCEO productivity
- Occasionally work flexible hours, including the occasional weekend, early morning or evening hours as the Global OCEO team travels or schedule requires
- Administrative tasks for CEO events and back up for EA to CEO
Qualifications
To be successful in this role you have:
- 4+ years of administrative assistant experience
- Proactive, one step ahead work ethic, attitude, and approach
- Able to multi-task and juggle multiple calendars, teams and requests
- Ability to drive schedules and agendas with deeper understanding of context
- Strong teamwork and interpersonal skills, with a desire to offer suggestions and improvements Superior communication skills with the ability to work across all levels, internally and externally High level of confidentiality, discernment and judgement
- Desire to grow and take on your own projects and work under pressure while consistently meeting deadlines
- Technical wizard with Word, Outlook, PowerPoint, Zoom, Concur Associate degree in Business Administration or related field
