WHY BOX NEEDS YOU
We are looking for a passionate and highly driven individual to support our Product executive in their impact across our global engineering teams. In this role, you will be responsible for planning, coordinating and executing the logistics to make our leadership successful. The objective of this role is to collaborate closely with engineering leadership and other groups to anticipate operational and administrative issues before they arise and strategically support your team's work for the most efficient and effective impact. In addition to being organized and a logical problem solver, you possess the strong business judgement and communication skills needed to interact with a variety of people and job functions. Not only are you a flawless executor, but you approach your work with a humble attitude and see the executive and internal teams as your customers.
You thrive in a fast paced and ambiguous environment, and you are highly collaborative. Know that in order to be successful in this role, you need to have insane attention to detail and a bias for action while having mature leadership and communication skills to make impact across a large, cross functional organization.
WHAT YOU'LL DO
- Manage and optimize the complex and dynamic calendars of the VP while performing other administrative tasks
- Organize and prepare team meetings including owning the agenda and prioritizing a large backlog of important topics for the leadership team
- Plan and coordinate team offsites
- Prepare and manage monthly expense reports and org purchase orders
- Take initiative to improve processes and procedures for the product team
- Serve as a lead of small projects, as needed
- Arrange domestic and international travel (none right now due to COVID-19)
WHO YOU ARE
- 5+ years of experience in making the impossible happen on cross-functional teams (e.g. executive support, operations/project management, etc.)
- Ability to adhere to an expectation of complete confidentiality on all business matters
- Ability to effectively communicate and collaborate with a diverse range of people and job functions
- Organizational skills with demonstrated attention to detail and a proven ability to handle multiple competing priorities
- Desire to hit the ground running and own projects and processes
- Strong people skills with a proven record of building and maintaining relationships among a variety of stakeholders
- Experience with Google Calendar, Coupa, Workday and/or Concur is a plus!
