About The Role

In this dynamic operations position, you will be playing a key role in providing administrative support for our executive team members as well as managing all aspects of the day-to-day operations of our Detroit office. You will be the face of the office and create an environment where employees are motivated to do their best work! If you love operations and program management, then this is the role for you! This is a full-time role based in our Detroit office and reports to our Chief of Staff located in California. We anticipate that the role will be 70% focused on supporting our executive leadership (mostly in Detroit) and 30% office management tasks, although it will flex from week to week.

Job Description 

  • Maintaining executive leaders’ calendars and prioritizing matters that require immediate attention
  • Make domestic and international travel arrangements (flights, hotels, cars, meetings, etc) and provide ongoing support as needed
  • Ensure expense reports are compiled and submitted on time
  • Facilitate internal communications and coordination of team meetings (e.g., preparing meeting agendas, and arranging meeting rooms, equipment and refreshments as required)
  • Work collaboratively, leveraging appropriate resources to manage, own and streamline administrative tasks
  • Manage all day-to-day workplace operations for the Detroit office
  • Develop tools and processes to streamline office operations
  • Coordinate with global operations team to provide awesome experiences for all employees
  • Coordinate all in-office programs and activities
  • Manage vendor and building management relationships to keep the office running smoothly
  • Keep supplies, equipment, and snacks well stocked at all times
  • Identify new opportunities for process and office management improvements
  • Assist with additional office tasks and special projects as needed

This job is required to be performed in-person in our office in downtown Detroit on a daily basis.

Minimum Requirements

  • 1+ years of experience supporting multiple executives at a similarly sized high growth early stage company
  • 2+ years of recent experience in workplace operations or similar role
  • 2+ years of experience managing experience managing projects and creating successful outcomes
  • 1+ years of experience creating and implementing office management protocols to support growing teams
  • High proficiency with G-Suite, Microsoft Office, WebEx, and Zoom 
  • Project coordination experience at an intermediate complexity
  • Strong verbal and written communication skills with the ability to interact with internal and external partners
  • Have the ability to handle confidential material with the utmost discretion

Preferred Qualifications

  • Bachelor’s degree preferred
  • Experience working with small offices or start-up type environments
  • Organized, self-motivated, dependable, and detail-oriented
  • Ability to prioritize and anticipate the needs of a growing office
  • Ability to lift up to 40 pounds and willingness to roll your sleeves up
  • Self-starter, capable of working independently with minimal supervision as well as working with others in a team environment
