The Registration Coordinator is an important contributor to the Corporate Events team, one branch of three that comprise our firm's central source for planning and executing meetings and events which allow Baird to leverage buying power, achieve business results and deliver a consistent, brand-certified experience. This position is unique in that it works with all three branches of the firm's planning teams. The Event Registration Coordinator is responsible for partnering on corporate meetings and events through the implementation of registration & communication strategy, delivery of communication objectives and execution of onsite experience, while working effectively with several internal and external clients.

Additionally, the position is responsible for contributing to the team mission of providing expert planning, superior organization and client-focused event execution for Baird's internal and external clients in partnership with key stakeholders to foster relationships, education and achieve business goals.

As an Event Registration Coordinator, you may:

  • Identify registration and communication needs and make a recommendation on how to achieve event goals
  • Build, test and launch template or custom registration forms and event website solutions, including, but not limited to, registration questions with minimal housing management, webpage content, overall site design, and very occasionally GDS travel integration and third-party API integration.
  • Ensure event is compliant with industry and branding regulations and route for additional approvals as needed
  • Obtain communication approval from event owner (i.e. Manager, Business Unit head, etc.)
  • Create, articulate and manage recommended communication plan/timeline from templated stock
  • Collaborate with Senior Team members and occasionally Baird's Marketing & Communication Department when applicable to generate custom graphics and communication elements including invitations, reminders, confirmations, event signage and attendee materials.
  • Partner with internal/external stakeholder(s) on content of communication items
  • Contribute to recurring client planning calls with responsibility to report on progress of registration, ongoing registration & communication recommendations & hotel/travel management status updates.
  • Run and analyze all travel related reports making recommendations & taking action based upon the data (i.e. suggestion to exercise attrition, request an addendum to increase room block, quality control for attendee travel arrangements inclusive of flight, ground transportation and hotel needs, etc.)
  • Run and review all invitation, session and activity related reports for level I events ensuring quality control
  • Assist with packing, nametag preparation and work with senior team members experts to identify and prepare any other onsite needs
  • Communicate pertinent registration information to rest of Corporate Events / Conference Services and supporting teams to ensure the service of internal and external clients as needed
  • Act as a client-facing representative via phone/email communication as well as onsite and post-event interactions
  • Assist with department general inbox and 800 #
  • Develop and maintain positive professional relationships with vendors and internal clients through excellent written and verbal communications
  • Assist with portions of mobile event apps under direction of Event Registration Planner.
  • Flex into planner responsibilities when partnering with Baird Hospitality team on events hosted in the Baird Conference Center or for Registration Only events to drive planning meetings, logistic timelines in addition to traditional duties as outlined for the Registration role.

What we look for:

  • Bachelor's degree in Hospitality, Marketing, Business, or Communications preferred. 1-2 years of previous experience performing advanced administrative functions in the event planning industry.
  • Understanding and knowledge of the event planning industry and technology is preferred.
  • Strong commitment to provide exceptional customer services.
  • Strong ability to multi-task, stay organized and work under pressure. Ability to work on several client projects at once and coordinate deadlines; client support calls, emails and concerns; and event details on an on-going basis.
  • Excellent interpersonal, written and verbal communication skills.
  • Collaborative approach with other team members and planning committees across departments, with a simultaneous ability to own tasks and meet deadlines independently.
  • Exceptional computer skills with the ability to learn the Event Management System quickly.
  • Strong foundation in the MS Office Suite, especially Excel, Word & Outlook.
  • Fundamental understanding of web/graphic design principles and best practices
  • Basic knowledge of HTML, image editing software, and internet/e-commerce terminology is preferred
  • Proactively keep a project on track; troubleshoot problems as they arise, and communicate regular updates with internal clients/stakeholders and external partners
  • Available to work long hours sometimes into evenings/weekends during peak workload. Ability to list up to 20 pounds. Minimal Travel - typically 10-15% max.
