Let's talk about the team

The primary role of Event coordinator is to support and assist in coordinating events for a fast-paced med tech company. A successful Event Coordinator ensures event related tasks are delivered in a professional manner in accordance with organizational goals. This position will report to the Senior Manager, Event Planning.

Let's talk about the role

  • Assist with event logistics which include, menu selection and guarantees, audio visual RFP's,
  • event rentals, hotel room blocks, recruiting and confirming suppliers, videographer and photographer
  • Provide administrative and logistical support for on-site events
  • Assist with event data entry and other event production and administrative elements
  • Inventory, source and manage event supplies and promotional branded items
  • Assist with updating event websites, apps, registration platforms
  • Assist with post event recaps and reconciliation
  • Enter purchase requisitions to ensure timely payment to suppliers
  • Reconcile event related expenses on a regular basis
  • Act in a supporting role to the Sr. Manage, Event Planning onsite at events
  • Maintain and distribute event calendar across the organization
  • Establishing and maintaining relationships with vendors and venues
  • Assist with event logistics, including but not limited to, creating event listings, managing registration lists, seating, name badges, preparing notebooks and other stationary, packages gift bags, reminder emails, surveys, ensuring inventory of registration materials
  • Assist the Sr Manager, Event Planning and partnership teams with event logistics and communications
  • Undertake new assignments as necessary, as it relates to corporate events



Let's talk about you

  • Strong organizational skills, including skill in effectively coordinating and organizing multiple details
  • Prior experience with tradeshows
  • Strong project management, customer service and relationship building skills
  • Strong written and verbal communication, able to deliver clear, concise information tailored to specific and varied audiences
  • Ability to travel as necessary to event locations (travel 15%)
  • Exceptionally detail-oriented and organized, ensuring quality and consistent output
  • Ability to effectively solve problems, think creatively, make decisions and take action, exercising independent judgment
  • Ability to maintain a professional and positive attitude and work independently in a fast-paced, changing environment
  • Proficiency in MS Office applications (Word, Excel and PowerPoint.)
  • Event Planning experience preferred
