At Salesloft, our Office Operations Specialist will be pivotal to our company’s success.  You will be a key member of our fast-growing and high-performing Office Operations team. This team is responsible for planning and executing strategic initiatives, centered on Salesloft’s physical office spaces. You will help define our global standards within all of our office locations. 

On a day-to-day basis, you will be responsible for managing the strategy and operations of Salesloft’s physical office spaces. Specifically, you will:

  • Ensure Lofter’s have appropriate access to our spaces by utilizing various platforms 
  • Maintain physical security of the office space in accordance with ISO 27001
  • Optimize the physical spaces for productivity and employee experience
  • Coordinate the use of office space for in-person events using the space
  • Manage strategic projects related to office spaces
  • Ensure Salesloft real estate contracts align with overall strategic direction of the company
  • Own and manage office related vendors relationships including related technology systems 
  • Ensure your time is split appropriately between various office locations to make sure Lofters are supported in their day-to-day activities and we have a consistent experience within all spaces.

Communication is key in this role, you will be responsible for creating and maintaining our process related to accessing our spaces and safety protocols.

WHAT WE’RE LOOKING FOR:

We are seeking a bias-towards-action, results-oriented, and motivated facilities professional with a passion for creating excellent office experiences for employees. Specifically, you will play a pivotal role in scaling Salesloft’s facilities strategy and operations.

THE TEAM:

Salesloft’s Office operations team in partnership with the PMO comprises seasoned and up-and-coming Project Managers who are all aligned on one vision and mission:

  • Vision: Every seller is loved by the buyers they serve (#saleslove)
  • Mission: Equip companies to maximize revenue by creating a fantastic buying experience

The PMO consists of strong project management professionals who help Salesloft achieve its strategic goals through relentless planning and execution.

THE SKILL SET:

  • Experience in hospitality, marketing, multi-unit retail, startups, finance, consulting, or related experience.
  • Project Management baseline knowledge
  • Experience writing/ distributing Requests for Bid and/or Requests for Proposal with external parties
  • Facility management experience with multi-locations and/ or multi-properties
  • Budget management experience
  • Organized, efficient, attention to detail, and self-motivated
  • Experience coordinating and/or negotiating real estate contracts 
  • Experience or knowledge of with Interior Design, Office Layout, and/or Space Planning
  • Strong written and oral communication skills

Preferred Skills: 

  • 3-5 years in one of the following areas: building management, building operations, project management, hospitality, multi-unit retail, startups, or executive assistance.
  • experience is a plus
  • Project management experience

WITHIN ONE MONTH, YOU’LL:

  • Attend Salesloft’s New Hire Orientation, where you will learn Salesloft’s story and understand what makes our “Lofters” unique 
  • Begin 1:1’s with your manager, understand your 30-60-90 plan, meet & shadow current members of the Salesloft team, and delve into your territory 
  • Set your OKRs (Objectives and Key Results) with your manager and develop an action plan to achieve them
  • Meet key partners in various stakeholder departments throughout the company
  • Attend meetings for major facilities related projects

WITHIN THREE MONTHS, YOU’LL:

  • Own some tasks and project management responsibilities for facilities related projects
  • Take over office space access management activities
  • Establish relationships with office related vendors globally and begin vendor search to fill gaps.
  • Meet with global office leaders to establish relationships
  • Review performance OKRs with your manager
  • Assume responsibility for office tasks, including office perks, coordination of office cleaning, visitor management, and office work orders
  • Mange office related platforms

WITHIN SIX MONTHS, YOU’LL:

  • Work closely with the Senior Project Manager to coordinate office and/or floor expansions.
  • Create and administer processes related to office management including space access, department space allocation, and safety related protocols. 
  • Coordinate Building and Office design activities and recommendations
  • Partner with Marketing department for branding needs across all global office

WITHIN TWELVE MONTHS, YOU’LL:

  • Lead all facilities related projects
  • Advise Leadership on all office related matters proactively
  • Proactively provide recommendations to leadership regarding real estate strategy. 
  • Work with senior leadership to align on strategy and execute the vision for long-term space planning
