How you'll make a difference:

The Events Coordinator II leads event planning and logistics which may include a variety of events that fall under the Events Team's overall portfolio, including exhibits, workshops, COAST visits, medical education and sales training events. The Events Coordinator II will work closely with department leadership and will drive value across the organization by enhancing the experience of the surgeons and distributors who participate in our programs.

Your key responsibilities

  • Plan, coordinate and execute events of varying sizes and parameters
  • Leads all aspects of the event logistical plan, including but not limited to:
    • Facilitation of invitation creation and distribution
    • Creation of attendee registration sites via Cvent
    • Communication with event attendees, including surgeons, distributors and employees
    • Works with Marketing Operations and Product Marketing to plan marketing materials
    • Travel logistics arrangements as needed per event
    • Securing of housing contracts as needed
    • Transportation and meal arrangements as needed
    • Development of documents and handling of other administrative items such as: event snapshots, invitations, calendar holds, agendas, participant profiles and more
    • On-site event logistics as needed
  • Timely and professional communication with all meeting stakeholders
  • Organizes and manages logistical suppliers to ensure a seamless, high quality event experience for all related programs
  • Negotiates contracts with hotels, conference centers and other vendors
  • Reconciles invoices and expenses
  • Works collaboratively with Marketing, Sales, Legal, Accounting and Marketing Services teams and outside vendors
  • Develops strong working relationships with surgeon customers, sales management, internal partners, and distributors
  • Adheres to industry, company and other governing policies with respect to show giveaways, physician events, dinners, receptions, promotions, market research, physician payments etc.
  • Performs all other duties as assigned

Who you are

  • Bachelor's degree in Marketing, Communications, Hospitality or related field
  • 3-5 years' experience in event or marketing program coordination
  • Demonstrated ability to manage the delivery of projects / programs in a cross-functional, geographically dispersed environment in a timely and effective manner
  • Excellent computer skills and knowledge of Microsoft Office Suite
  • Excellent communication skills, both verbal and written and interpersonal skills with proven ability to interface at all levels
  • Proven ability to work both independently and on a team
  • Must exhibit strong organizational skills
  • Ability to acknowledge and resolve problems providing expedient solutions in a professional manner
  • Demonstrated ability to maintain a high level of professionalism and confidentiality while interacting with staff (at all levels) and customers in a fast-paced environment, sometimes while under pressure
  • Ability to manage workloads and prioritize projects to achieve established goals and objectives
  • Ability to adapt to fast-paced team-oriented work environment while maintaining a positive attitude
  • Ability to analyze, troubleshoot, and resolve problems / issues as they arise
  • Ability to work overtime as required, including evenings and weekends
  • Must be able to travel via car and / or airplane; travel 5 - 15%

The anticipated salary for this position for an employee who is located in California is $67,483 to $74,545 per year, plus bonus, and benefits. The final pay offered to a successful candidate will be dependent on several factors that may include but are not limited to the type and years of experience within the job, the type and years of experience within the industry, education, etc. The Company is a multi-state employer and this pay scale may not reflect the pay scale for an employee who works in other states or locations.
