Who we are looking for:
We are looking for an Executive Administrative Coordinator to join the DISQOTECH organization in a support role for the Senior Executive Assistant. This role will add value and create a positive impact as the organization scales for growth.
What you get to do:
- Work closely with the Senior Executive Assistant in the Office of the CTO to help provide assistance with daily operations that work towards the organization goals
- Assist with keeping CTO on track for meetings and upcoming activities by providing an advance line-of-sight into upcoming meetings and events, and communicate any prep needed
- Assist with general department administrative needs to include securing conference room reservations, performing research, and help maintaining external vendor relationships
- Assist with onsite and offsite meeting and team event coordination as needed, as well as maintenance of points of contact for events vendors, offsite meeting space/hotels, and restaurants
- Collaborate cross-functionally with People Ops to collect organizational reports such as weekly and quarterly new hires, quarterly promotions, and headcount reports
What you bring to the role:
- Minimum of 3+ years as an Assistant in a fast-paced environment
- Basic knowledge of G-Suite (Google Docs, Sheets, Slides, Drive, Meet, and Gmail) and Zoom with the ability to acclimate quickly
- Excel, PowerPoint, Slack
- Proven ability to prioritize tasks and follow through to completion, perform action item follow-up, and access necessary information and resources needed to deliver timely results
- Demonstrated ability to work in teams, meet deadlines, and pivot quickly
- Ability to collaborate, both cross-functionally and within the department, to facilitate the successful and efficient completion of duties and responsibilities
- Positive attitude with excellent interpersonal skills
