FIGS is seeking an Administrative Assistant to provide support to FIGS Executive Assistants and Office Management Team. As FIGS’ Administrative Assistant, you will be responsible for a variety of administrative tasks—from handling personal work to creating expense reports to assisting with scheduling. The ideal candidate is known for their organizational skills, has great attention to detail, and is passionate about helping others. 

What you’ll do:

• Manage office supply orders and the set up of meetings
• Handle personal work 
• Maintain polite and professional communication with FIGS’ vendors and visitors via phone, e-mail, mail, and in person
• Provide scheduling support to Executive Assistants and Executive Team
• Assist with meeting set up (room bookings along with furniture, technology, catering needs)
• Create expense reports for Executive Team
• Conduct research for special office projects or team building events
• Serve as back up to receptionist when needed
• Serve as a helpful and positive presence in the workplace, jumping on on ad hoc tasks as needed and willing to go the extra mile

Requirements:

• Associate’s Degree in business or related field
• Prior administrative experience
• Strong attention to detail and a creative approach to solving problems
• Strong computer skills with proficiency in Microsoft Office and GSuite. Experience using Asana preferred
• Strong organizational skills and time management skills
• Outstanding verbal and written communication skills
• Genuine desire to support the needs of others
• Can work 8:00-4:30 pm with availability to come in earlier
