Title: Site Administrator
Job Purpose:
The Site Administrator provides support for the Plant Manager, Leadership Team, and Production Associates. This position helps to maximize and extend the effectiveness of the Site Leadership Team by identifying & leading key site activities around the areas of communication, policies & practices, general associate support, engagement, event coordination, and provides recommendations to staff to help drive improvements and efficiencies across the site. Responsible for scheduling Local, Regional, and Global Meetings and organizing Site visits of Mars Family Members and State/Local Officials.
What are we looking for?
Minimum Requirements:
• High school diploma or GED
• 2+ years’ experience in administrative support
Physical Requirements:
• Frequent lifting/carrying pushing (10-50 lbs) and pushing/pulling (50-300 lbs)
• Frequent bending, stooping, twisting, handling and gripping
• Ability to work at elevated heights, climb stairs, leaning over equipment and work in confined spaces
• Ability to stand and/or work on feet for extended periods (minimum eight hours in one shift).
• Ability to read, write and speak English
Preferred Qualifications:
• 3+ years’ of experience in administrative support
• Associate degree in Business, Administration, or Human Resources field
What will be your Key Responsibilities?
Communications: Supports key communication initiatives at the Site. Ensures the successful execution of global, regional and local communication activities including Mars Ambassador Program, EI&D activities, Policy Updates, Town Hall Meetings, Mars Associate Survey and Principles in Action.
Site Engagement: Makes recommendations to help improve Associate engagement, creates site-specific programs, leads site recognition programs, and seeks to understand best practices in the network that can be leveraged at the site.
Coordination of site activities: Coordinates All Associate's Day, site parties or outings, MVP events, recognition activities, holiday luncheons, team training, team building activities, service awards and site giveaways. Organizes visits to Site from associates across the globe including Mars family members, ambassador program visitors, state and local officials. Manages donation activities with Site and Community.
Systems/Processes: Key user for Mars Systems including Kronos, Workday, Teams, SCALA, Ariba, SAP, Audio and Video conferencing, and My Mars web posting.
Administrative Support & Projects:
Office 5S Champion
Management of Site Director calendar and travel support for Leadership Team as needed.
Higher levels of collaboration across the site with all Associates levels. Partners with external stakeholders as needed
Manages Site P-Card and reconciles invoices. Creates PO's and ensure timely payment of vendors. Additional projects & coordination of activities as required
Provide Training support to associates in areas of Workday, Kronos, Ariba, Purchase Orders, basic computer skills, provide support in Excel, PowerPoint and Word
Serve as ARG support for the site
Support Leadership Team meetings through agenda management and communication
Coordination of Leadership Team and other site meetings including travel, team building activities, venue selection, catering arrangements, and procurement of supplies
Engage & Energize essential element owner of Leadership Pillar
Coordinate records retention with 3rd party group
Onboarding coordination for new hires
Locker management
Manage mail room/office supplies/mail distribution
Monthly Communication Meetings
Associate Tour Management
