We are seeking an organized, hands-on, and ambitious marketing operations specialist to support the marketing team at LL Flooring. The primary duty is to ensure all marketing projects flow smoothly and in a timely manner, and help bring order to the department's workflow and task management. The successful candidate should have project management experience and must be able to multi-task, organize, and work well independently. This position requires significant collaboration, so the person should have excellent communication and people management skills. They must also excel at time management and work well under deadline, have an eye for detail, and be skilled at problem solving.

The successful candidate will assist the Director of Marketing Strategy & Operations in finetuning processes in support of our omni-channel marketing strategy. As the key go-between with marketing and other departments, the marketing operations specialist is responsible for receiving and tracking project requests, assigning and scheduling workstreams, following the team's progress to a successful completion, and providing status reports along the way.

Primary Responsibilities: • Manage the flow of strategic marketing projects and initiatives from inception through implementation, routing reviews and approvals. Maintain project documents, creative briefs and timelines. Communicate missing assets or approval steps to the appropriate stakeholders in a manner that preserves the timeline. When necessary and appropriate, negotiate extensions with vendors and stakeholders. Proactively communicate risks of delay. Maintain an archive of historical project materials, both digital and (when applicable) physical. • Schedule and coordinate cross-functional meetings; lead project kick-off meetings with key stakeholders and appropriate marketing team members. • Prepare agendas, presentations and related materials for meetings, take minutes and distribute accurate and complete information • Keep team members on task, ensuring projects are running smoothly and completed on time. • Organize kick-off meetings for new projects; make sure the team has the necessary information needed to complete the work. • Provide progress updates on existing projects, communicating any issues. • Monitor projects and workloads daily, adjusting assignments and deadlines accordingly. • Work with agency partners to ensure they have the assets needed for their jobs. • Help develop solutions for workflow delays. • Follow a media traffic schedule file for on-time creative asset implementation. • Reviews traffic instructions and relates instructions to video production manager • Manages campaign tagging and ad serving with Media Planner, Director of Marketing Operations, and agency partner • Manage product donation requests for various marketing projects and partnerships. • With the Director of Marketing Operations, facilitate marketing department standard operating procedures, documentation, and communication; refine processes as needed • Assist with internal communications

Education: • Bachelor's Degree (B.A. / B.S.) from accredited four-year college or university, preferred

Related Experience, Qualifications and/or Certifications: • 3-5 years of experience in marketing department/advertising agency; or equivalent combination of education and experience • Experience with Agile Marketing (or Software Development) Best Practices, including use of software like JIRA or Trello • Experience developing and documenting process / workflows

Computer Skills / Special Equipment Knowledge: • Advanced MS Office Skills for the Following Purposes:

o Excel - Management of budget spreadsheets including formulas and macros, update of media flowcarts, compilation and publication of performance reporting, invoice and spend tracking.

o Powerpoint - Assist in design and revisions to presentations including re-formatting to new templates, compressing for external sharing, embedding multi-media elements, PDF conversion to and from.

o Word - Maintain versioning and tracking changes to documents, embedding links and tables, importing images and creating new templates for letters, briefs and reports. • InMotion Project Management Software Administration • Smartsheet Project Management Software Literacy
