In this role, the Marketing and Events Manager will partner with our external vendors and internal business partners to provide event oversight and execution to both in-person and virtual events for the organization.  

How you can make a difference:

  • Accountable for creating and collaborating on partnership-level high touch relationships with event stakeholders
  • Coordinate with the events director to plan, organize and execute virtual and in-person events
  • Develop, schedule, and plan internal events for employees, such as webinars, and prepare event attendees
  • Create communication materials for post-event updates, such as photos, recaps, etc.
  • Create playbooks to help in-market teams scale and execute events
  • Order swag and materials for events to showcase the brand in an engaging way
  • Leverage customer service, communication, and project management skills to deepen stakeholder relationships to successfully deliver defined strategic event goals
  • Lead event concept bringing specialized expertise to deliver compelling event experiences
  • Provide management, organization, and execution of logistical aspects of events
  • Conduct site selection and analysis, contract negotiations, vendor management, and pre-conference meetings to ensure key event objectives are met
  • Develop and maintain relationships with external vendors to secure services at competitive rates
  • Act as event historian and central repository and maintain detailed intelligence on all events
  • Provide event checklist, timeline, and toolkit for launch of events and ribbon cutting ceremonies
  • Incorporate and adhere to VillageMD brand standards
  • Collaborate with Marketing team on development of event communication plan as needed
  • Liaise with graphic designer and vendors on development and production of event invitations, collateral, and swag
  • Manage and direct internal team members for event execution (registration and onsite support)
  • Manage multiple priorities while maintaining high energy and ability to succeed amidst multiple deadlines

Skills for success:

  • You have high emotional intelligence, the ability to forge meaningful relationships, and can successfully navigate diverse stakeholder groups
  • You are able to manage multiple vendors, track orders and ensure tasks are completed on time
  • You’re skilled at organizing and developing procedures for new and ongoing events
  • You are able to work with third-party event hosts to best position our brand at the event and highlight our executives, speakers, etc.
  • You are a self-starter and you’re able to keep teams across an organization updated on the project
  • You are highly collaborative
  • You have experience performing under pressure with a strong sense of urgency, attention to detail, and a commitment to doing what you say you will do
  • You are solution-oriented and have a passion for being hands-on in problem-solving and execution
  • You are self-starting and maintain a high sense of urgency and accountability in delivering measurable results in line with agreed upon timeframes

Experience to drive change:

  • Approximately 2-4 years of event experience.
  • Bachelors degree in business, communications, marketing or related field.
  • Strong organizational skills, creativity, and a team player.
  • Excellent written and verbal communication skills.
  • Able to collaborate across teams in the organization and engage with agency partners.
  • Excel at both in-person and virtual events at large and small scale.
  • Experience in all Microsoft Office suite and experience with Sharepoint and SmartSheet are preferred.
  • Some travel required.
