Job Description

The Global Marketing team is searching for an Executive Assistant to support the Marketing Leadership team and to help assist the greater Marketing organization, as needed. This person must possess excellent organizational and communication skills, and the ability to effectively handle a heavy workload and multiple priorities. The role requires someone who is proactive, can anticipate and solve problems independently at a high-intensity pace, can work well under pressure, and manage and follow through on tasks and projects to completion. The role performs diversified and confidential administrative duties requiring broad experience, skill, and knowledge of organization policies and practices.

Responsibilities:

  • General administrative tasks such as handling mail, ordering supplies, file management, dealing with confidential documents, processing invoices, and assisting with daily needs for the Vice Presidents and Global Executive Leaders* (*as capacity allows)
  • Schedules and maintains calendar of appointments and meetings for team leaders and coordinates related arrangements including Chime conference call coordination, room bookings, etc.
  • Arranges complex and detailed travel plans and itineraries, compiles documents for travel-related meetings for team leaders
  • Assist with Vice President and team expense reporting and management including review and approval process
  • Assists team with any IT needs that may arise
  • Assists in planning and executing team-builds, off-sites and lunch & learns
  • Assists in onboarding, ordering, and setting up equipment for new Team Members, and offboarding Team Members that leave WFM
  • Performs other related duties as assigned
  • Offices onsite in Austin 3 days a week with high visibility and access to team. This number may increase as WFM policies change.

Qualifications:

  • 5+ years of relevant experience; or equivalent combination of education and experience
  • Willingness to multitask and maintain flexibility
  • Strong organizational skills and file management
  • Knowledge of internet software, spreadsheet software, and word processing software
  • Fluent in Outlook
  • Excellent communication including written, verbal, and listening skills
  • Ability to handle confidential information
  • Knowledge of WFM policies, procedures, and core values
  • Offsite or event planning experience
  • Proven experience developing power point presentations
