We are currently seeking a Leave Specialist to join our team. This position is responsible for completion of all disability and/or family leave claim forms, inquiries for Insperity vendors, state agencies, as well as inquiries from internal and external customers. This position is also responsible for the evaluation and timely distribution of all incoming leave administration correspondence.

Responsibilities:

  • Maintains knowledge of current FMLA regulations, state leave and income replacement laws, as well as corporate leave and income replacement policies.

  • Interacts with and maintains productive working relationships with team members, vendors, state agencies and internal and external customers on a frequent and continual basis.

  • Researches and responds to all leave of absence (LOA) income replacement questions in a timely manner.

  • Reviews and completes all disability and/or family leave claim forms received electronically or by mail, including any external third-party forms pertaining to a leave of absence.

  • Provides ongoing updates using the appropriate form if an LOA has changes that could affect an employee’s claim.

  • Monitors and/or responds to electronic correspondence received in the Leave Administration inbox.

  • Categorizes and distributes the incoming correspondence received in the Leave Administration inbox appropriately for timely processing.

  • Responds to or escalates urgent incoming matters as appropriate.

  • Updates payroll system LOA status for employees on leave.

  • Documents and updates leave statistics reports.

  • Performs assigned system generated tasks related to leave administration.

  • Creates job aids for the department as needed.

  • Prepares and transmits documents for efficient record keeping.

  • Records a copy of all completed claim forms in the said LOA record.

  • Monitors and identifies any trends based on the incoming items received and escalates as appropriate.

  • Administers the leave return to work process, including triggering the appropriate benefit reinstatement selection, as needed.

  • Provides employee on LOA with FMLA usage at the closing of a leave of absence record.

  • Distributes the incoming tasks for processing as needed.

  • Researches and processes assigned system generated tasks related to leave administration as needed.

  • Works as a team member to maintain the highest level of customer service quality and productivity. 

  • Assists in the accomplishment of Insperity and Departmental goals.

  • Helps other employees to accomplish Insperity and Departmental goals.

  • Performs other duties as may be assigned by department supervisor.

  • Participates in the Disaster Recovery plan as required.

Qualifications:

  • High School Diploma or equivalent is required. Bachelor’s Degree in related field is preferred.

  • Three to five years of experience in a production or administration environment, servicing a nationwide company is required.

  • Working knowledge of federal, state and local leave laws.

  • Extensive problem solving and decision-making skills; ability to work accurately and efficiently under narrow time limitations; ability to work independently in the absence of supervision.

  • Competent in basic mathematics calculations; strong computer skills including data entry in Microsoft Office suite, Excel, Word/Windows and other applications.

  • Communicates tactfully and effectively, verbally and in writing, and maintains effective work relations with those encountered in the course of employment; familiar with modern office methods, practices, procedures and equipment.
