Overview:

As e-TeleQuote continues to grow both in the US and internationally, we're looking for a full-time friendly and professional People Operations Specialist who will be a welcoming smile and one of the first faces to greet the public when they enter the office's lobby. The person will be a vital part of the People & Culture team as they greet and assist visitors, vendors, employees, and applicants. The role is best suited for an organized individual with a strong business etiquette and passion for people with some prior human resources experience. This role offers full-time hours with an onsite schedule Monday through Thursday, remote Friday.

Responsibilities:

  • Answer phones, take messages and field/respond to routine questions
  • Greet and direct visitors and applicants
  • Sort/distribute incoming mail and prepare/send all US/UPS/Fed Ex packages
  • Type general correspondence, memos and email responses, as needed
  • Schedule and organize activities associated with meetings, travel, events, luncheons and department activities
  • Provide administrative support and assistance for special projects
  • Maintain and update filing system as well as retrieve documents, as requested
  • Maintain confidentiality & protect against the unauthorized disclosure of information (debit cards, personnel records, etc.)
  • Oversee office/operations supply ordering and maintenance; assures adherence to budget
  • Drive to post mail, pick up supplies and food for office events
  • Coordinate with external service vendors for various building repairs and maintenance
  • Perform daily Attendance duties for non-exempt employees including but not limited to checking the Attendance line, documenting absences, verifying paid time off and running reports.
  • Assist with payroll functions including time punches, reports, verifying paid time off accruals and usage, and fixing errors.
  • Maintain accurate and up-to-date human resource files, records, and documentation.
  • Maintain the integrity and confidentiality of human resource files and records.
  • Provide clerical support to the HR department.
  • Assist with planning and execution of special events such as benefits enrollment, organization-wide meetings, employee recognition events, holiday parties, and retirement celebrations.
  • Perform other duties as assigned.



Requirements

Education & Experience Requirements:

  • 2+ years experience in an administrative role
  • High School Diploma
  • Valid Driver License
  • Proficient with Microsoft Office Suite products.


Skill Requirements:

  • Technical knowledge and experience in the use and operation of company equipment (computers, printers, phones, fax, etc.)
  • The ability to work under pressure and meet deadlines, while maintaining a positive attitude and providing exemplary customer service
  • Excellent interpersonal and communication skills with the ability to manage sensitive and confidential situations with tact, professionalism, and diplomacy.
  • High EQ and empathy in all settings to know how to effectively escalate, diffuse and/or redirect
  • Excellent organizational skills and attention to detail.
  • Proficient with or the ability to quickly learn payroll management, human resource information system (HRIS), and similar computer applications.
  • Exposure to human resources tasks preferred.


Physical Requirements:

  • This job operates in a professional office environment. The role routinely uses standard office equipment such as laptop computers, photocopiers, mobile phones, etc.
  • While performing the duties of this job, the employee is regularly required to talk or hear. The employee frequently is required to stand; walk; use hands to finger, handle or feel; and reach with.
  • Ability to safely and successfully perform the essential job functions consistent with the ADA, FMLA and other federal, state and local standards, including meeting qualitative and/or quantitative productivity standards.
