JOB SUMMARY:

Provide professional, administrative, and secretarialsupport for the human resources function. Support and maintain HR systems,employee data, processes, policies, and procedures. Process employee information and maintainemployee records; ensure data integrity. Respond to employee inquiries.

ESSENTIAL JOB FUNCTIONS:

  • Provide administrative and secretarial support for the ChiefHuman Resources Officer (CHRO). Serve asa liaison between CHRO, executives, managers, and visitors as required.
  • Provide support with HR programs administration includingbilling reconciliation, invoice processing, and various systems audits.
  • Provide administrative support and maintenance of HRsystems, data, processes, policies, and procedures. Respond to associateinquiries regarding all HR functions and programs.
  • Schedule appointments and coordinate arrangements formeetings, conferences and trips making sure the CHRO meets theircommitments. Assemble necessary backgroundmaterial for meetings. Maintain personalcalendar for the executive.
  • Draft confidential correspondence, edit documents, take andtranscribe minutes of meetings, and perform other administrative duties asrequested.
  • Resolve problems requiring in-depth knowledge of companypolicies and procedures, and projects in progress. Take independent action on handling requests;determine the appropriate course of action, intervene when necessary, and actas a liaison between departments.
  • Assist department with the talent acquisition process byconducting resume screening and phone interviews and scheduling furtherinterviews with both internal and external candidates.
  • Coordinate data from a variety of sources for inclusion intechnical reports and presentations; perform independent research and prepareinformation for special projects as assigned. Interpret and relay company policy information; keep CHRO informed ofany deviation on items requiring personal attention.
  • Develop and maintain both electronic and manual filingsystems. Retrieve information and correspondence on a daily basis to ensureimmediate access to file data for execution of executive's duties.
  • Maintain logs and records of the CHRO's vacation schedule,and attendance records.
  • Screen and direct incoming calls, correspondence andvisitors. Communicate with both internaland external customers. Route and answerroutine correspondence not requiring the CHRO's attention to ensure timely andaccurate response.
  • Serve as the department's record's retention administrator.
  • Perform other duties as assigned.



QUALIFICATIONS:

Minimum Education and Experience:

  • A combination of education and related experience
  • Four or more years experience supporting senior levelmanagement
  • One to three years' experience in Human Resource
  • Must maintain a high level of confidentiality andprofessionalism



Preferred Education, Additional Qualifications andExperience:

  • Experience utilizing HR systems
  • Previous experience in benefits administration, compensationand system administration



Required Knowledge, Skills, and/or Abilities:

  • Ability to research data, identify trends and recommendappropriate actions
  • Ability to work independently under general instructions andresponds to inquiries and questions associated with the executive's position.
  • Strong attention to detail
  • Knowledge of Human Resources policies and procedures
  • Knowledge of laws and regulations relating to HumanResources
  • Ability to work successfully in a matrix environment
  • Demonstrated written and verbal communications skills
  • Ability to exercise sound judgment
  • Ability to establish and maintain strong workingrelationships with various stakeholders
  • Ability to organize work efficiently to meet establishedtime and quality standards
  • Good organization skills
  • Good time management skills
  • Proficiency with Microsoft Suite of products; i.e., Word,Excel, PPT, etc
