The Human Resources (HR) Coordinator provides administrative and technical assistance in support of the Human Resources function in accordance with company policies and procedures. This role plays a critical role in talent acquisition, onboarding, talent development processes for both candidates and employees. The HR coordinator will learn and be exposed to all aspects across the HR function. This role can grow into HR positions with greater responsibility as the function continues to grow.
This is a hybrid role which includes working Tuesday through Thursday in our Minnetonka or St. Cloud office, with flexibility to work remotely on Monday and Friday.
ESSENTIAL FUNCTIONS:
- Coordinate the pre-employment process to include creating offer letters and associated documents, certifications, track drug tests, background and credit checks and overseeing onboarding to ensure accurate and timely completion of all required new employee paperwork and its entry into the HRIS system.
- Schedule and facilitate new employee orientation for attendees and speakers, track attendance and review feedback evaluations and follow up on comments as needed.
- Ensure a positive onboarding experience by coordinating the onboarding process between managers and new hires
- Track and maintain company policy acknowledgements of new and existing employees
- Process I9 documents of new hires
- Maintain company compliance initiatives including tracking labor law posters, and assisting Security team of tracking security compliance
- Assist with monitoring the HR department inbox. Responsible for responding to general/common inquiries and forwarding or escalating specific and/or complex matters to appropriate HR team member for resolution.
- Maintain all employee personnel file records, documents and paperwork ensuring at least updates of records
- Assist internal employee announcements and coordinate sending of gifts for employees’ life events.
- Complete written and verbal employment verifications and unemployment requests and draft response letters as needed.
- Support annual HR cycle deliverables to including assistance with administration of performance review process, employee handbook acknowledgement, benefits open enrollment, etc.
- Recommend process improvement regarding onboarding and other tasks and projects assigned
- Assist with administration and coordination of Early Careers and Internship programs
- Coordinate and assist with projects, presentations and reports, and mail for team as requested.
- Act in accordance with Marco policies and procedures as set forth in the employee handbook.
QUALIFICATIONS:
- Bachelor’s Degree; or equivalent combination of education and experience.
- Degree in Human Resources program preferred.
- SHRM Certified Professional (SHRM-CP) and/or PHR preferred.
REQUIRED SKILLS:
- Proficiency with business collaboration tools such as MS Office applications, Outlook and function specific applications including HRIS and ATS systems.
- Superior internal and external customer service and communication skills.
- Enthusiastic, dedicated to the challenge of helping other people.
- Demonstrates attention to detail.
- Strong ability to exercise independent judgment and discretion regarding confidential matters.
- Excellent organizational and time/task management skills with the ability to thrive in an ambiguous and rapidly changing environment.
- Function collaboratively as part of a fast-paced, client orientated team.
- Foundation and knowledge of principles and practice of HR including employment law and compliance requirements.
- Previous experience with talent acquisition coordination a plus
- Proficiency in Microsoft Office applications including Outlook, Word and Excel required
- Ability to follow compliance and company regulations when working with sensitive and confidential information
- Ability to work independently and meet process deadlines.
- Ability to schedule meetings with complex calendars.
