Position Summary

The Human Resources Coordinator will provide support to one or more human resources functions, including recruiting, employee/labor relations, compensation, benefits, training, equal employment opportunity, and/or employee records. Processes HR department applications, including employment and enrollment applications; maintains attendance and employment records and compiles various HR management reports. May conduct pre-employment screening interviews, check references, and respond to routine questions on HR policy. Possess a moderate understanding of general aspects of the job. Works under the close direction of senior personnel in the functional area.

Responsibilities

  • Responding to internal and external HR related inquiries or requests and aid
  • Redirecting HR related calls or distribute correspondence to the appropriate person of the team
  • Must open or stay to close the Human Resources department as scheduled, auditing and processing invoices for payment, and maintaining office supplies.
  • Maintaining records of personnel-related data in both paper and the database and ensure all employment requirements are met
  • Liaise with other departments or functions (payroll, benefits etc.)
  • Support the recruitment/hiring process by sourcing candidates , performing background checks , issuing employment contracts etc.
  • Assist supervisors in performance management procedures
  • Schedule meetings, interviews, HR events etc. and maintain the team's agenda
  • Coordinate training sessions and seminars
  • Perform orientations, onboarding, and update records with new hires
  • Produce and submit reports on general HR activity
  • Assist in ad-hoc HR projects, like collection of employee feedback
  • Maintains current HR files, databases, and computer system by updating and entering data
  • Setting appointments and arranging meetings
  • Compiling reports and spreadsheets and preparing spreadsheets
  • Processing incoming mail and creating and distributing documents
  • Orienting new employees to the organization (setting up a designated log-in, workstation, email address, etc.)
  • Performing file audits to ensure that all required employee documentation is collected, scanned, and maintained
  • Completing termination paperwork and assisting with exit interviews
  • Assist with other duties as assigned



Requirements

  • High School diploma or equivalent
  • 2+ years Proven experience as an HR coordinator or relevant human resources/administrative position
  • Knowledge of human resources processes and best practices
  • Strong ability in using MS Office (MS Excel and MS PowerPoint, etc.)
  • Experience with HR databases and HRIS systems (e.g., Paylocity)
  • Ability to work with ATS software
  • Outstanding communication and interpersonal skills
  • Ability to handle data with confidentiality
  • Good organizational and time management skills
  • Must be a self-starter, able to multi-task and handle various matters at the same time; must be able to handle emergency requests on short notice and complete deadlines in a timely manner.
  • Ability to work under pressure and handle stressful situations effectively.
  • Ability to work independently with minimum or no supervision if required to do so.
  • Ability to operate and use modern office equipment such as calculator, fax machine and copier.
