THE POSITION:

The main function of the HR Operations Coordinator is to provide high-level administrative support to the Talent Acquisition team and the HR Business Partners by assisting with a variety of duties and accountabilities.

RESPONSIBILITIES

Interview Scheduling

  • Schedule interviews, communicate interview details, and host interview visits
  • Coordinate travel and logistics for interviews
  • Greet candidates and facilitate the interview process
  • Build and distribute resumes and interview schedules to interview teams.
  • Responsible for getting timely feedback from our interviewers and communicating next steps to the candidate
  • Process all data and maintain recruiting profiles in Greenhouse

On-Boarding

  • Build and ensure delivery of candidate offer letters and new hire paperwork
  • Receive and detail all new hire materials
  • Process and enter confidential and critical candidate information into appropriate HR systems
  • Send New Hire tickets for all accepted offers
  • Send welcome emails to new hires
  • Collect new hire paperwork
  • Host new hires first day; Meet and greet new hires
  • Assist with new hire orientation logistics
  • Facilitate background checks, resolve all incomplete background checks, and call out non-standard issues to management.

Administrative

  • Expense reimbursement for candidates
  • Provide general administrative support to the Recruiting team
  • Enforce to the highest degree of integrity and strict confidentiality on matters that require discretion
  • Monthly coding of department credit card
  • Assist with department reporting as needed
  • Other projects as assigned

Sourcing/Recruiting

  • Post open jobs for recruiters and find new candidate sources
  • Assist with phone screens and interviews for junior level positions and general referrals
  • Handle the internal transfer process, facilitate interview steps for the employee, and work with recruiters to conduct internal interviews to determine qualifications of internal transfer applicants as needed

REQUIREMENTS

  • 1+ years of recruiting, sourcing, or interview scheduling experience required
  • Experience with high volume scheduling
  • Experience with applicant tracking systems (Greenhouse Preferred) 
  • Ability to prioritize challenging requests
  • Attention to detail and excellent follow-up skills
  • Shown ability to take initiative and get things done
  • Ability to work in a fast-paced environment and efficiently multi-task
  • Excellent verbal and written communication skills
  • Ability to work independently and manage one's own time
  • Ability to keep information organized and confidential
  • Experience with computer applications, such as Microsoft Word, Excel and PowerPoint
