HR LOA Analyst
Our Opportunity:
Chewy is seeking a HR Leave Administration Analyst to join our Human Resources Team based in Dania Beach, FL. Under the supervision of the team manager, this role is responsible for leaves of absence (LOA) and ADA Accommodation case management for Chewy Customer Service Team Members. This role will review leave and accommodation cases in accordance with Federal and State guidelines and Chewy policy including: Federal and State Medical Leave (FMLA), short term disability, state and local leave, parental leave, COVID leave and unpaid personal leaves of absence. This position maintains consistent contact and timely follow up with team members, creating a positive Leave experience for all Team Members.
What You’ll Do:
- Manage an ongoing case load of leave and ADA requests assisting team members with their needs and properly
- Educate employees and HR on complicated aspects of return to work, accommodations, and complex case processes
- Process all leave of absence and ADA accommodation paperwork according to established procedures and laws
- Conduct intake of leave requests, sending required notices, and eligibility letters
- Handle the FMLA leave administration process from the team member’s initial notice of the need for leave to the return to work. This includes gathering and completing all required paperwork, determining leave eligibility, designating leave as FMLA qualifying, and requesting medical certification
- Support coordination of the return to work, accommodations, and transitional work assignment program
- Communicates with team members and HR managers regarding a leave of absence request, including approval or denial of leave, follow-up letters and notices and notification and resolution once leave is exhausted
- Assists management with leave of absence situations and provides guidance within the policy and established legal guidelines
- Review FMLA and ADA documentation for accuracy and completeness
- Make recommendations to approve or deny requests for leaves of absence and ADA accommodations based on federal regulations and company policies
- Effectively document, analyze and resolve leave and accommodation related issues
- Identify the need for, conduct, and document the interactive process per ADA guidelines. Communicate with identified stakeholders the progress and results of the interactive process
- Provide timely and accurate responses to team members and HR teams concerning LOAs and ADA accommodations
- Coordinate team members’ return to work process
- Maintain files of LOA and ADA accommodation requests
- Maintain compliance with company policies and federal/state regulations and laws
- Support management with special projects as necessary
- Act as a Chewy ambassador and liaison for future partnership with a leave third party vendor
- Performs additional duties as required
What You’ll Need:
- Bachelor's degree in Human Resources, Business Administration, or related field
- 3 years’ experience years administering requests for accommodations, leaves of absence, and FMLA
- Advanced knowledge of US Federal, State and Local leave law, the American’s with Disabilities Act, and other leave related regulations
- Preserves confidentiality of employee medical documentation and files with an understanding of HIPAA requirements
- Excellent customer service and communication skills with an ability to answer questions tactfully and resolve difficult situations with employees and managers
- Demonstrated organizational skills including ability to prioritize workload, balance conflicting priorities, and attention to detail
- Preferred experience in Kronos and Workday
- Position may require travel
