The Role:

Loom is looking for a Payroll Manager who will oversee the domestic and international payroll functions for Loom. This role will report to the Sr. Accounting Manager, and manage relationships with our domestic payroll provider, PEO, and global payroll partners, while ensuring employees receive a best-in-class payroll experience. As an early member of the Accounting team, this individual will work to build impactful processes and policies for payroll and employee perks.

Your Responsibilities

  • Own the end-to-end process payroll for US exempt and non-exempt employees in a multi-state environment.
  • Coordinate global payroll processing and manage relationships with PEO and payroll providers for international employees.
  • Manage responses to all employee and contractor questions, own documentation of payroll resources, and training materials employees and cross-functional team members.
  • Create process documentation and policies for major process areas such as sign-on/referral bonuses, relocation, LOA, Garnishments - including tax treatment.
  • Organize and track payroll tax account and reporting status, review notices and keep filing information up to date to ensure timely reporting of all monthly, quarterly and annual payroll tax filings.
  • Ensure employee and contractor compliance with travel and expense policy.
  • Identify meaningful process improvement opportunities and develop project scoping and timelines for implementing improvements.
  • Partner with internal teams such as People Ops, HR, Finance, and external vendors to develop efficient processes and workflows.
  • Oversee special projects, including process documentation and improvements, system updates, integrations, upgrades, or implementations.

What We're Looking For

  • Minimum 5+ years experience in payroll administration in a multi-US state environment, multi-country experience preferred, with 1+ year of management experience.
  • Strong knowledge of payroll principles, rules and regulations and demonstrated application of technical guidance in a variety of areas including payroll processing, reporting, payroll taxes, and benefits account reconciliations.
  • Experience implementing payroll, time & labor, travel & expense, and HRIS systems, and documenting complex processes and policies.
  • Ability to operate in a fast-paced, rapidly evolving, data-driven environment.
  • A self-starter with the ability to work independently and partner effectively with cross-functional teams, including legal, HR, tax, accounting, and finance.

And using async communication allows us to free up time for deep work every day. We believe there's a place for sync time - often a conversation on Zoom is exactly what is needed. For team meetings, this ‘sync time’ is typically between 9AM-Noon PT given where the overlap of timezones where Loommates are located.


Work-Rest Balance: The way we balance the fast-paced demands of a high-growth startup and sustainability is making rest a priority. We offer a flexible PTO policy so you're able to take time off when you need it. We also go fully offline once a year between Christmas and New Year (and twice during the Pandemic). Rest is also part of the workday, not just during PTO. Taking a break for personal commitments, whether it's watching the kids or getting some exercise is a natural part of the workday.
