Job Summary

This position is responsible for providing leadership, implementing administrative systems, procedures and policies. Works closely with the Office Head(s) to ensure the office runs smoothly and coordinates efforts with Office Heads, Corporate Departments, and associates to ensure organizational, office goals and objectives are met. In addition to office management responsibilities, this position may be responsible for administrative, production and/or graphics duties.

Main Responsibilities

  • Coordinate administrative activities and facilitate day-to-day operations for the Capital Markets Team.
  • Ensure that company policies are followed and communicate new policies, procedures, and best practices to staff.
  • Participate in office planning process with Office Heads and assist with company-wide functions, such as Annual Production Meeting and Analyst Conference and other industry events.
  • Organize special department activities such as group events and staff appreciation activities.
  • Assist with the annual budget, if needed, including working with Office Heads to determine expenses, research costs, and analyze previous year's budget.
  • Maintain office filing system and oversee proper maintenance of off-site storage. Responsible for file retention guidelines and determination of what documents can be destroyed.
  • Responsible for ensuring data is correct in internal database (Capforce) and following up on missing information.
  • Serve as office contact for all corporate departments such as Human Resources, Accounting, Marketing and Information Technology:
    • Human Resource contact for recruiting process (screening applicants, interview coordination, new hire onboarding), attendance keeping, payroll matters and new employee training.
    • May work with Office Head or Human Resources on personnel issues. This includes being familiar with employment law and being the "front line" representative to deal with office issues.
    • Accounting contact for processing of invoices, reviewing and approving employee expense reports.
    • Work with Marketing on the coordination of events, press releases, and publications.
    • Coordinate with IT to ensure all employees have proper computer and phone equipment, access to systems, enabled/disabled etc. Limited technical support for computers and servers.
  • Provide administrative and production support including typing correspondence (letters, memos, reports), mailings, handling phone calls, scheduling appointments and conference calls, etc.
  • Manage itineraries for Office Head and internal meetings and make travel arrangements.
  • Provide administrative and production support to Office Head.
  • Must be able to work overtime occasionally on short notice.
  • Other duties as assigned.


Experience Required

  • Three to Five years of previous administrative experience.
  • Experience with accounting, human resources, IT and facilities management is preferred.
  • Previous office management with Real Estate/Finance background experience preferred.
  • Excellent communication, organizational, grammatical, and time-management skills.
  • Ability to be an independent worker with a team player attitude.
  • Ability to multitask and effectively prioritize work requests.


Education

  • College degree required.


Computer Skills

  • Intermediate working knowledge of Word, Excel and PowerPoint, Windows.
