Responsibilities:

  • Plan and coordinate all aspects of hunting retreats including date selection, guest and host confirmations, vendor contracts, and project timelines
  • Manage relationships with all retreat vendors (Chef, hunting guides, cleaning, transportation, property management) to ensure timely execution of statements of work and service delivery
  • Oversee guest and host communications throughout the retreat lifecycle, including registration, confirmations, logistics details, and post-event follow-up
  • Coordinate all travel logistics including aircraft arrangements and ground transportation
  • Maintain comprehensive guest and host information including assignments, dietary needs, and travel details; communicate relevant information to all stakeholders
  • Serve as primary point of contact during each retreat to troubleshoot issues, manage stakeholder needs, and ensure smooth day-to-day operations
  • Travel to the retreat location as needed to provide on-site coordination, support, and oversight during events
  • Execute post-event activities including client thank yous, feedback collection, and debrief sessions with hosts to capture insights for continuous improvement

Qualifications:

  • Bachelor's degree in Business, Hospitality, Event Management, Communications, or related field (or equivalent experience)
  • Minimum 5 years of experience in event coordination, hospitality management, or luxury client experience management
  • Exceptional organizational skills with meticulous attention to detail; ability to manage complex, multi-vendor timelines
  • Excellent written and verbal communication skills; ability to interact professionally with executives, vendors, and diverse stakeholders
  • Proficiency with event management platforms (Stova, Cvent, Salesforce); strong Excel skills for tracking and reporting
  • Ability to manage multiple priorities and competing deadlines in a fast-paced environment
  • Proven vendor management experience; skilled at building and maintaining professional relationships with external partners
  • Comfortable with travel as needed for on-site coordination and troubleshooting
  • High attention to confidentiality and discretion when handling executive and client information
  • Proactive problem-solver with composure and adaptability when managing unexpected changes
  • Collaborative team player with a positive attitude and willingness to learn

Nice-to-Have Qualifications:

  • Experience in financial services, banking, or luxury hospitality
  • Knowledge of hunting/outdoor activities or luxury retreat logistics
  • Experience coordinating high-end travel arrangements
