This role requires an individual who will assist in keeping our consultant team organized, efficient, and productive by helping with various administrative functions. This position will support our partners and senior consultants by performing a variety of activities and moderately complex administrative/operational/customer assignments. No previous work experience in the financial services industry is necessary.

ESSENTIAL DUTIES AND RESPONSIBILITIES
  • Transcribe, type, format, and proofread a variety of material (e.g., correspondence, invoices, contracts, meeting minutes, reports, speeches, and presentations) using word processing, presentation, graphics, and spreadsheet software.

  • Coordinate internal and external meetings, which may involve scheduling meeting times, making travel arrangements for attendees, and ensuring that various meeting amenities are available.

  • Communicate and handle incoming and outgoing communications on behalf of partners and senior consultants.

  • Add, Update, and Remove contacts from lists in Excel, Hubspot CRM, and Outlook.

  • Assist in scanning and filing report documents to ensure proper records retention.

  • Additional responsibilities may include distributing incoming mail, preparing outgoing mail, filing, maintaining office supplies or other inventory.

  • Assist Analysts, Senior Consultants, and Managing Partners in other duties as assigned.

  • Follow standard policies/practices that allow for some opportunity for interpretation/deviation and/or independent discretion.

MINIMUM KNOWLEDGE, SKILLS, AND ABILITIES:
  • High attention to detail is required
  • Skills testing may be required
  • Ability to multitask and balance multiple initiatives while prioritizing workloads
  • Ability to maintain confidentiality
  • Above-average telephone techniques and the ability to communicate effectively with prospective and existing clients, as well as other staff members
  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook)
  • Previous CRM or database experience (Hubspot)
  • Organizational skills required
  • Experience with internet research and proofreading/editing strongly preferred
  • Willingness to attend educational classes is desired.

In-office

Schedule:

Monday-Friday 8:00am-5:30pm EST with an hour lunch.

Working Conditions:

  • A shared office environment with moderate noise levels (e.g., phone conversations, typing)
  • Frequent use of computer monitors, keyboard, and mouse
  • Extended viewing of multiple screens for seven or more hours a day.
  • Extended periods of sitting.
